Position Summary
As the Event Coordinator for the Woolworth Theatre and lounge, you will oversee all aspects of the event life cycle from executed contract hand-off to the day-of event execution. This role requires a detail-oriented hospitality professional with great communication skills and a passion for events.
Key Responsibilities:
- Manage private and corporate events booked at the Woolworth Theatre including the lounge
- Successfully manage hand-off from sales manager taking clients through detailed planning stages of event life cycle, building banquet event orders and identifying upsell opportunities
- Building and maintaining client relationships
- Conducting on-site walk-through appointments
- Conduct prompt and thorough response to clients - typically within 24 business hours or sooner
- Confirmation of event details such as menu, final guest count, floor plan, timeline, personal decor, etc for each client
- Manage expectations for event clients and clearly communicate client needs to the management and banquet staff
- Maintain relationships with various event vendors
- Ensure timeliness of billing/payment remittance in conjunction with the Sales Manager
- Organization of banquet event orders and general event information within the TripleSeat platform
- Attend and lead weekly BEO meetings to review upcoming events with management team
- Act as banquet captain for all private events including scheduling of event staff, training new hires, recurring training opportunities, etc
- Produce work schedules for event staff
- Responsible for final walkthrough of event setups ensuring attention to detail in both cleanliness and adherence to BEO, floor plans, etc.
- Work in concert with sales team to meet monthly revenue targets and goals
Requirements:
- Previous experience in catering, catering sales and event coordination required
- Open availability to work days, evenings, weekends and/or holidays
- Excellent interpersonal, communication and organizational skills - attention to detail is essential
- Desire to work in a high-volume, fast-paced environment.
- Proficiency in Google Drive, TripleSeat and knowledge of Toast point-of-sale a preferred.
- A passion for organization, a positive attitude, and an interest in learning the inner workings of event sales and planning from start to finish
- Strong leadership skills with capacity for development & future advancement
Job Types: Full-time
Shift: Day and/or evening, including weekends and holidays. Parking provided
