Administrative Assistant
Objective
This role is a supportive force to the Chamber team. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have experience working in an office environment, performing administrative duties, and providing support. We rely on the administrative assistant to be flexible and consistent while maintaining the confidentiality of highly sensitive systems and operations.
Responsibilities
- Writing and editing professional content for websites and newsletters
- Drafting emails, memos, and other communications
- Develop and schedule engaging content for social media platforms
- Answer, screen, and transfer inbound phone calls
- Demonstrate professional email and phone etiquette
- Maintain clear and effective communication with internal and external stakeholders
- Greeting and directing visitors
- Maintaining daily calendar, including Chamber staff and conference room calendars
- Handling requests for information and data
- Assisting with project management and event planning
- Maintaining filing system and database
- Purchasing and maintaining office supplies
- Receiving, sorting, and distributing incoming mail and preparing outgoing mail
- Preparing for and attending meetings as requested and directed
- Maintaining accounts receivable records by creating invoices and processing payments
- Attending Chamber functions as requested and required (outside business hours as necessary)
- Support staff members as needed
- Other duties as assigned by the President/CEO
Specifications
- Must love people and be a customer service rockstar
- Knowledge of Wooster and Wayne County
- Resourceful, detail-oriented, and have a knack for finding solutions
- Excel at both written and verbal communication, fostering positive relationships and influencing others
- Proficient in MS Office, Google Workspace, and social media platforms
- Ability to multitask, exude strong time management skills, and work in a team environment
- Minimum 2 years of experience in administrative/office management
- Personal qualities of integrity, credibility, and a commitment to the Wooster Chamber’s mission
- Strong desire to live, work, and play in Wayne County
Work Environment:
The majority of duties will be performed in and from the Chamber’s office during the regular business hours of Monday - Friday 8:30 a.m. - 5 p.m. However, at times, the position will be required to cover hours outside of the typical work week. Some travel and work off-site will be required, as well as mornings, evenings, and weekends.
This position is a full-time salaried position with health and dental insurance, PTO, and a retirement account. Compensation will be based on experience and education.
