Job Title : Front Desk Receptionist

Pay Range : $17.00 - $20.00

Position Summary : Perform daily flow of operations in the front office; assist in preparation of charts and patient care for the providers. Be the initial representation for the clinic to patients and companies. If interested in this role, please submit your resume and cover letter as part of your application. This position follows the opening schedule, 7 : 30 AM to 4 : 30 PM.

Duties and Responsibilities :

  • Perform all opening and closing duties on a daily basis according to the attached list for Front Desk #1 and Front Desk #2.
  • Answer phones and take detailed messages for providers / MA’s. Only new injuries and other physicians calling need to be addressed with back staff immediately. (See number 17)
  • Check office inbox throughout the day. Keep it clean and organized on a daily basis.
  • Verify orders as they are received to make sure the appointment is scheduled with the correct provider and we have sufficient time to complete the exam. Verified orders are put in a daily pendaflex and then orders are re-verified the morning of the appointment.
  • Schedule all appointments other than Department of Labor patients.
  • Maintain the “Open Cases with no Follow-up” list.
  • Maintain the following folders : Pending DS Results, Pending Test Results, Med Hold, and the TB Read folder.
  • Register patients appropriately, filling in all required fields (refer to Systoc policy on registering when needed).
  • When scheduling new injuries :

What is the injury?

  • Who is the employer?
  • When did the injury happen?
  • Have they been seen anywhere else?
  • What is their name?
  • Any drug screens?
  • Make sure flow sheet information and company contact is up to date, i.e., where to send the 164s, drug screens, and physicals.
  • Review physicals to make sure all tasks have been completed before the patient leaves.
  • Process all paperwork. This should be done one at a time to maintain cleanliness and organization at the front desk. Pick up one patient, send to company or insurance, scan paperwork to daily scans, and attach immediately to patient visit. If it’s not getting attached immediately to the visit due to pending results or another reason, note in the white box where that paperwork is so it can be easily tracked.
  • Put all paperwork in chronological order from the beginning of the day to the end of the day. Place all paperwork in Billing Dept tower.
  • Any paperwork and / or telephone messages that need to be addressed by a provider go onto a clipboard in the MA station. The MA is then responsible for deciding when to interrupt their provider to handle whatever it is that is needing to be addressed.
  • Maintain cleanliness of the lobby : counters, keyboards, phones, mouse, water dispenser, chairs, door handles, etc.
  • Assist adjusters with faxing 164’s and chart notes when requested.
  • Assist other employees and providers when necessary.
