Job Overview
We are seeking a highly organized Office Manager to join our Maitland, FL office. This role combines managerial bookkeeping, invoicing management, office administration, and employee management tasks. You will oversee daily office operations, manage financial record-keeping, handle invoicing (both sending and paying), track employee hours and project allocations, handle incoming mail, manage payroll, and complete state employee reporting.
The ideal candidate will be proactive, detail-oriented, and comfortable managing multiple tasks simultaneously.
Responsibilities
- Perform managerial bookkeeping tasks, including tracking and reporting employee hours, project time allocation, and associated expenses.
- Manage invoicing processes, including creating, sending, tracking, and paying invoices. Maintain and organize historical and current invoicing records.
- Manage payroll accurately and timely using payroll software (e.g., ADP, Rippling).
- Process and manage incoming mail and handle necessary follow-up tasks.
- Prepare and submit employee reports and compliance filings across various states.
- Oversee general office administrative duties, including ordering supplies, managing office logistics, and coordinating meetings.
- Maintain organized and accessible financial documentation, including invoices, receipts, and payment records.
- Liaise closely with the founder and team to streamline office operations and improve administrative efficiency.
Qualifications
- 3-5 years of bookkeeping, invoicing management, and/or office management experience.
- Proficient in QuickBooks (or similar accounting software) and payroll/HR software (Rippling, ADP, or similar platforms).
- Experienced with G Suite (Google Drive, Docs, Sheets) and comfortable learning new technologies.
- Exceptional organizational skills with a proven ability to manage multiple responsibilities efficiently.
- Excellent attention to detail, particularly in financial tracking and reporting.
- Ability to handle sensitive information confidentially and professionally.
- Strong interpersonal skills, able to communicate effectively with team members and external contacts.
