POSITION OVERVIEW

As an integral team member and ambassador for the organization, the Office Manager is a trusted go-to for galvanizing resources, facilitating meetings, coordinating calendars, and managing priorities, both short and long term. The Office Manager demonstrates impressive situational awareness and can effectively re-organize their time to accommodate sudden and shifting needs of both clients and the workforce. The Office Manager is a resourceful problem solver that does their best work autonomously. This role brings an exemplary degree of hospitality, creating a warm and inviting atmosphere for all guests and employees of Workbench.

A successful Office Manager can be tactfully assertive, think on their feet, devise creative solutions, and exercise peer influence to gain cooperation and support for all tasks. There is a great opportunity for this role to serve as a process architect, improving and re-imagining work streams for best results and efficiency. The Office Manager protects proprietary information and is a reliable support for the Finance Team. A high energy and growth driven professional will excel in this role.

Daily and Routine Responsibilities

  • Manage phone systems and field new client inquiries
  • Facilitate Company wide meeting
  • Help manage office wide calendars and executive team’s calendars and schedules when needed
  • Provide “how to” support for basic IT requests (URL’s, passwords, loading apps for new hires)
  • Handle purchasing for resource materials (multiple departments) and client gifts
  • Manage contractors related to office work
  • General office and backroom upkeep and organization (care for plants, general environment upkeep)
  • Maintain safety and attractiveness of exterior entrances
  • Open and route mail and packages
  • Event planning
  • Write, revise and maintain standard operating procedures
  • Assist with the client care lifecycle
  • Conduct all business operations with respect and esteem for the Workbench vision and mission

IT & Equipment Support

  • Manage IT subconsultant and IT issues for the Company
  • Set up new computers with the help of the IT subconsultant
  • Set up new teams and contracts in Company software programs, including but not limited to Microsoft Teams, Monograph, and Sage
  • Conduct copy meter readings
  • Set up door security codes
  • Maintain active licenses and subscriptions for products used by all of the teams

Finance and HR Support

  • Post bills and generate invoices using accounting software
  • Manage bank deposits
  • Input new contract terms and details when requested
  • Provide support in compliance areas related to reporting to investors or other project funding sources, entities, and insurance
  • Provide back up support in specific areas when team members are out of office
  • Serve as the primary point of contact for onboarding new employees including system access set-up

Project Management

  • Assist with transitions to new systems or software, as needed
  • Develop proficiency with Monograph to track timelines and budget status
  • Analyze and provide improvement feedback on internal processes and work- flow
  • Perform research on polices or client profiles when assigned
  • Engage with training opportunities to acquire new knowledge for professional growth
  • Lead subcommittees or task forces when opportune, ex: Safety Committee

The employee is frequently required to walk and stand for extended periods of time. The employee must have the ability to lift and/or move up to 50 pounds. The employee must be able to work for 8 hours a day. Specific vision abilities required by this position include close vision, distance vision, depth perception, and ability to adjust focus.

Pay: $75,000.00 - $85,000.00 per year
