For over a century, the Workers' Compensation Insurance Rating Bureau of California (WCIRB) has been California's trusted, objective provider of actuarially based information and research, advisory pure premium rates and educational services integral to a healthy workers' compensation system. The WCIRB is a California unincorporated, private, nonprofit association comprised of all companies licensed to transact workers' compensation insurance in California. The operations of the WCIRB are funded primarily by membership fees and assessments; no state money is used to fund its operations. The WCIRB is a stable company and a proven leader in the workers’ compensation insurance industry nationwide.

The WCIRB performs a number of functions to accurately measure the cost of providing workers' compensation benefits and ensure a healthy workers’ compensation system. The WCIRB is seeking an Executive Administrative Assistant to provide support to the Senior Leadership Team, Chief Legal Officer and Actuarial and Legal Departments. The ideal candidate for this critical role on a collaborative team will be a high-performing problem solver with a background in executive support in a corporate or legal environment. This position requires someone who is very organized, detail-oriented and possesses effective written and verbal communication skills. You will be a key player in ensuring the smooth operation of day-to-day activities, including reviewing and proofing legal and other documents, calendaring meetings and hearings and providing general administrative support, all while maintaining the highest level of discretion and confidentiality.

Essential Duties and Responsibilities

  • Review and edit correspondence, reports, committee documents, presentations and administrative filings, many of which contain confidential, proprietary and sensitive information.
  • Schedule and calendar status conferences, hearings, meetings and events; coordinate with internal staff and external committee members and counsel.
  • Compile exhibits and complete service of filings for administrative appeals.
  • Review insurance policy forms and maintain forms database.
  • Maintain files, manage documents and procedures and assist with long-term and complex special projects as needed.
  • Organizes the workflow in the absence of the Executive Administrative Manager.

Education And Experience

  • High School Diploma or equivalent required, associate or bachelor’s degree preferred.
  • Three or more years of experience in an administrative role, preferably in a corporate or legal environment.
  • Professional demeanor and utmost discretion in handling confidential information.
  • Good communication and interpersonal skills and the ability to interface with a variety of individuals in several different work conditions.
  • Self-motivated, resourceful, problem solver, energetic, team player with the ability to work under pressure.
  • Good organizational and time management skills with the ability to handle multiple tasks / projects concurrently with tight deadlines.
  • Good computer skills including expertise in MS Office application software.
  • Excellent attention to detail and grammar, proofreading and editing skills.
