The anticipated hiring range for this position is $45,000 to $50,000 per year. POSITION SUMMARY

The Programs Operation Manager – CIA Consulting (CIAC) & Food Enthusiast (FE) is responsible for supporting the overall business activities of CIA Consulting and Food Enthusiast Programs in San Antonio. The Operations Manager will work closely with internal teams to manage program/event execution through the deployment of internal business processes which will ensure consistent and excellent programs. The Manager is responsible for the overall operational success of all non-degree programs.

The Program Manager will liaise with internal kitchen teams, sales, instructors, contractors, leadership, and others to meet program objectives while exceeding customer expectations. The Programs Manager will manage daily tasks such as scheduling, staffing, purchasing, and program execution in a fast paced, service - oriented environment. The Manager will support and participate in efforts to steward business opportunities to facilitate revenue growth, process development, and awareness of non-degree programs.

 

ESSENTIAL RESPONSIBILITIES

  • Oversee and monitor all program operations, planning, and coordination.
  • Act as the primary contact and on site contact for CIA Consulting, military, and FE programs.
  • Oversee the requisition, organization, and maintenance of all supplies needed for programs through proper purchasing systems, exercising best practices about cost control, inventory, and budget maintenance.
  • Coordinate billing for all CIA Consulting and Food Enthusiast programs in San Antonio with Hyde Park team.
  • Create and maintain efficient departmental systems.
  • Coordinate space and faculty usage for programs with the Managing Director.
  • Support leadership in prospecting and respond to new business opportunities.
  • Build and maintain both internal and external relationships. Establish collaborative partnerships with all levels within the CIA.
  • Work with various departments both internal and external to manage program details. Identify ways to improve productivity and leverage resources.
  • Provide direction and guidance to all stakeholders associated with programs including kitchen operations and customer service. Thoroughly communicate pertinent information to all parties on behalf of CIA Consulting and Food Enthusiast Departments.
  • Continually improve the standard of excellence in customer service for all client interactions. Develop new client relationships in support of generating future business.
  • Monitor Food Enthusiast program schedule for accuracy; suggest program cancellation and/or program calendar additions as needed. Monitor weekly enrollment report.
  • Work with leadership to provide quarterly Food Enthusiast calendar.
  • Manage program inventory and order and purchase as needed.
  • Coordinate facility set up and break down including, but not limited to, continental breakfast, physical room configuration per client requests, etc.
  • Communicate in a timely and concise manner to all internal and external emails, phone calls and guest requests, while maintaining client confidentiality at all times.
  • Follow up with customer for level of satisfaction though survey results.
  • Provide management and collaboration to – CIA Consulting & Food Enthusiast programs to ensure deliverables meet exceptional standards of quality.
  • Any and all other duties as assigned.

 

REQUIRED QUALIFICATIONS

Education:

  • Associate's degree or equivalent experience in lieu thereof.

Experience:

  • Three (3) years of experience in event management, and/or foodservice operations.

 

PREFERRED QUALIFICATIONS

  • Culinary Institute of America graduate.
  • Bachelor’s degree.
  • A strong industry presence and reputation in the foodservice, hospitality, or retail food product industries.
  • Experience using Eatec, Xenegrade, 25-Live, Triple Seat database systems preferred.

 

REQUIRED SKILLS

  • Must have excellent communication skills, both written and verbal with strong people skills.
  • Strong management, operational, planning and customer service skills.
  • Must represent the CIA Consulting brand to internal and external constituents in a positive, energetic manner.
  • Demonstrated ability to show an important level of service responsiveness to customers.
  • Ability to use sound judgment and discretion in handling sensitive information with confidentiality and discretion.
  • Ability to collaborate with internal leaders and support teams but work autonomously as necessary.
  • Be self-directed in seeking answers and collaboration across teams and departments.
  • Strong computer skills, including proficiency in MS Office suite products, i.e. Word, Excel, PowerPoint.
  • Solid understanding of the food service and hospitality industries.
  • Must have a proven, consistent history showing the ability to work at all levels within an organization.
  • Must be able to work in a demanding environment with demonstrated ability to juggle multiple competing tasks and demands.

 

WORKING CONDITIONS

  • The ability to work nights and weekends as required due to business needs.
  • Regular work requires the use of a computer, sometimes more than eight (8) hours per day.
  • Regular work requires a great deal of sitting and standing for extended periods.
  • Ability to frequently lift and carry 30 pounds.
