Summarize major function of the position :

Provides sales support services to dealership customers, including Market Presidents and

sales. Works closely with dealership sales, design, order entry and installation groups, as well

as customers, to ensure accurate orders and delivery, conformance to client’s

requirements, customer satisfaction and high-quality project implementation.

List essential functions of the position :

General

  • Order samples for clients and sales / design teams.
  • Create sifs for the majority of orders including quick quotes and detailed quotes,

discount sifs and add margins.

  • Assist creating budget summaries before a final proposal is issued.
  • Specify furniture that is not systems furniture or required to be done by design.
  • Submit request for proposals to pc’s and forward all pertinent info to client and sales.
  • Set up projects in core for quick quotes to get orders processed. This is a function
  • normally performed by sales; except Market Presidents.

  • Provide order package to pc for order processing. THE FULL SCOPE OF WORK DEPENDS
  • ON SALES.

  • Attending webinar and in person product training for additional product knowledge.
  • Update sales month to date backlogs and SharePoint spreadsheet. MOSTLY SALES.
  • Office supply ordering and purchasing (not all markets require this).
  • Update manufacturer discounting spreadsheet.
  • Attend Weekly Design Huddle, keeping activity queue up to date.
  • Attending Weekly Vertical L10 Meetings.
  • Carries out special projects and all other appropriate and reasonable duties that may
  • be assigned from time to time.

    Pricing

  • Specifying “loose” furniture, including COM lines if applicable.
  • a. If shop drawings are required, then the designer must specify.

    b. Typicals that can be outsourced from manufacturers (excluding workstations).

  • Verifying that pricing is current, including additional fees (Freight, Tariffs, Surcharges
  • and Small Order Fees)

    a. Verification of Contract Discounting that a Designer does not get a quote from

    Premier, Vizient, State of Florida).

    b. Verify against vendor quotes provided (unless this is confirmed by Designer if

    applicable)

    c. Verify additional fees and surcharges. Apply all additional fees.

    d. Apply discounts to all products in specifications.

    e. Verify any discounts already in specifications, either against vendor quotes or

    provided contract.

    f. If indicated by the designer that verification and quotes have been verified,

    vendors quotes are not needed as part of the verification process.

  • Running sifs through quote tool- Only if the Designer has not done this prior to
  • submitting for further discounting.

    Sales Support

  • Creating Product Presentations
  • a. Uses Workscapes Template

    b. Assist in putting together presentations.

  • Performs digital presentations, etc. for client and dealership transmittals.
  • SCOUTBOARDS OR SIMILAR IDEAS STARTERS FOR ANCILLARY OR LOOSE FURNITURE.

  • Generating design requests in conjunction with Account Managers and Account
  • Executives SALES (EXCEPT IN SOME INSTANCES WHEN MARKET PRESIDENTS ARE

    INVOLVED).

  • Request installation quotes for transactional and small orders.
  • Assist in getting COM quotes and reserving fabric.
  • Assist in COM testing research- inquire if fabric has been approved for use on selected
  • product- send samples to be tested for approval- report on fabric testing results.

  • Provides professional support and assistance to the sales and design team in the
  • development of materials and products utilized in presentations to clients.

  • Assists the order entry process by uploading the final documents and confirming the
  • po matches final sif.

    Departmental Practices

  • Maintains detailed and extensive project documentation, including records of all key
  • decisions, phone conversations, approvals and signoffs, and notes from all project

    planning meetings.

  • Manages adherence to project schedule, internal dealership budget, customer’s
  • project budget.

  • Communications regularly to team members and collaborates with team to resolve
  • issues throughout the project.

  • Performs digital presentation, etc. for client and dealership transmittals. POWERPOINT
  • PRESENTATIONS ON PROJECTS NOT INVOLVING DESIGN.

  • Ensures complete and accurate transmittal of project planning data to order entry /
  • management, project management and installation groups. ON QUICK QUOTES

    ONLY.

    Contract Furniture Industry Knowledge

  • Maintains strong knowledge of manufacturers and product lines.
  • Has a working knowledge of the dealership’s contract furniture lines, including
  • features / benefits, pricing, application and assembly, specification options and

    nomenclature, etc.

  • Understands contract furniture processes, including order preparation, project
  • management, order management and delivery / installation.

  • Assists with special projects and performs additional tasks as assigned.
  • Qualifications :

  • Minimum one year in customer service and order processing experience.
  • Proficiency in Microsoft Office suite (Word, Outlook, Excel, PowerPoint).
