This role will manage employee records, assist with recruiting efforts, handle office management duties, and process financial transactions while maintaining high levels of confidentiality and accuracy.

Position Summary
We are seeking a detail-oriented HR & Accounting Administrative Assistant to provide critical administrative support across both our Human Resources and Accounting departments. This role will manage employee records, assist with recruiting efforts, handle office management duties, and process financial transactions while maintaining high levels of confidentiality and accuracy.
Key ResponsibilitiesHuman Resources (50%)
- Maintain employee files and records, ensuring compliance with regulatory requirements
- Conduct regular compliance audits of personnel files and documentation
- Provide recruiting support, including resume screening, interview scheduling, and communicating with applicants
- Assist the CEO with occasional Executive Administrative duties
- Office management for our Addison location, including managing all mail and shipping, meeting preparations, and general office upkeep
- Update and maintain content on the company intranet, newsletters, and others as needed
- Support the VP of HR with administrative tasks
- Manage the Accounts Payable (AP) email inbox
- Set up new vendors in Tipalti and NetSuite
- Process bills in Tipalti and propose aging invoices for payment
- Administer the Navan (TripActions) travel management system and post payments in NetSuite
- Oversee the Purchase Request (PR) email inbox
- Maintain the Purchase Order (PO) register
- Route purchase requests for appropriate approvals and issue approved requests
- Prepare and process invoices, expense reports, and other financial documents in accordance with company policies
- High school diploma required; associate's or bachelor's degree in HR, Accounting, or related field desired
- Must reside in the Dallas/Fort Worth area with reliable transportation to the Addison office
- Previous experience working in an accounting or HR team preferred
- Previous experience in recruiting or scheduling a plus
- Proficiency with Microsoft Suite including SharePoint and Excel
- Experience with or ability to quickly learn accounting systems and HR software
- Strong attention to detail and excellent organizational skills, required
- Exceptional written and verbal communication abilities
- Ability to handle confidential information with discretion and professionalism
- Previous experience in HR administration and/or accounting support roles, desired
- Experience with Tipalti, NetSuite, and Navan, desired
- Location: Addison, TX (hybrid)
- Reports to: VP, Human Resources
- Compensation: $25/hour
- Hybrid work arrangement requiring on-site presence at least 3 days (M/W/F) per week at our Addison office
- Fast-paced environment requiring the ability to manage multiple priorities and coordinate communication between departments
