What are the responsibilities and job description for the Community Manager position at WorkSpace Irvine?
The Community Manager should effectively manage the office center by ensuring that members' needs are addressed & met, upcoming vacancies are filled, and Community Associate’s duties are being accomplished. They should be comfortable delegating tasks to Community Associate, as needed. Community Manager should also possess a friendly demeanor so they can effectively interact with potential new members, existing members, and their guests.
This position is a full-time position, however, you can choose to start out on a part-time basis if this helps with your transition.
Day to Day Responsibilities
- Book conference rooms for clients – record usage
- Mail services: daily postage for clients, FedEx requests, coordinate package pickups, weekly mail forwarding for clients who pay for this service
- Send out center-wide emails regarding building operations, notices, happy hours/events, maintenance schedules, etc.
- Phone answering & call screening service
- Greet all incoming clients (offer coffee, tea, water, etc. and inform member of their client's arrival)
- Keep all common spaces neat and organized (wipe down counters, wash dishes/load dishwasher, restock coffee, tea, and other amenities, etc.)
- Ensure kitchen and common supplies are restocked
- Maintain professional and welcoming atmosphere
Operations Responsibilities
- Place Costco, Amazon, Canteen & kegerator orders monthly to stock the kitchens, company office supply, and fulfill client requests (later billed to monthly invoice)
- Schedule janitorial/maintenance service; ensure work is completed to company standards
- Schedule Ricoh and Canteen maintenance
- Address any client complaints or issues – Ideally before they are brought to your attention by a member
- Coordinate phone line set-up and program phone: assist in VM set-up, client extension, add information to company "cheat sheet"
- Add all client information into an excel spreadsheet for company use including employee names, emails, personal phone numbers, type of member, extension, etc.
- Monthly Billing
- Oversee Community Associate and delegate tasks, as needed
Sales Responsibilities
- Implement plan to keep center occupancy at or near 100% with little turnover
- Meet/Exceed revenue goals by increasing current member rates to reflect that of the market
- Create and maintain good relations with lead companies such as InstantOffices, OfficeList, Office Finder, etc.
- Update weekly lead sheet: report where each lead comes from; how many leads are from client referral, OfficeList, craigslist, etc.
- Update weekly pipeline: status of leads (who has proposals, who has toured, etc.)
- Keep floor plan current (vacancies, monthly rates, 30/60/90-day notice marked, high rate based on square footage/location, low rate based on square footage/location)
- Keep rent roll current with each new client signed: company, start date, lease term, base rate, service charges, renewal date, etc.
- Daily follow ups with WorkSpace leads
- Provide each new tenant with personalized welcome packet: center Wi-Fi information, personal Ricoh code, Ricoh machine prices, WorkSpace employee job titles and contact information, conference room booking/cancellation policies, WorkSpace company policies, etc
