Job Summary:
The selected candidate will work closely with management and other event coordinators to organize the company’s corporate events ranging in size across North America as well international locations. This position will focus on coordinating event logistics, communicating with participants, managing travel, on-site event support, and more. This role will own and manage event negotiations with venues and ensure we’re getting the most competitive rates.
Essential Functions:
- Execute the planning, organizing, and coordinating of company’s worldwide events for up to 15,000 attendees
- Monitor and track event and business contests for qualifications and/or reimbursements
- Find venues for conventions, meetings, incentive trips and send RFP to suppliers
- Manage venue negotiations to ensure competitive pricing
- Serve as point of contact for meeting attendees and external partners
- Manage event logistics, including registration and attendee tracking, presentation and materials support, travel and lodging management for staff and participants, and budget tracking
- Develop plans and timetables to ensure that meetings are implemented on a timely basis and executed within established budgets
- Help select and evaluate vendors and external partners, and assist with vendor negotiations and event contract procedures
- Run event production and coordination. Set up location, greet guests, coordinate with vendors, and troubleshoot throughout the event
- Send reports to management weekly
- Manage email communications and compose professional correspondences
- Handle multiple projects and meet deadlines
Education:
- A minimum education level of: Bachelor's Degree preferred but not required
Requirements:
- Years of Related Experience: 3-4 years event planning experience; at least 1 year experience with venue negotiation
- Proficiency in Microsoft Office Suite and Google Suite
- Must demonstrate reliability and punctuality
- Must have excellent organizational and interpersonal skills
- Must be able to communicate effectively with all levels of the organization and with clients, both verbally and in writing.
- Must be able to maintain high level of confidentiality and professionalism
- Travel is required for 3 major events per year
- Ability to work in a fast paced team environment and manage last minute details
