GENERAL SUMMARY:
This position is primarily responsible for planning and onsite execution of the IRONMAN Village Experience, focusing on the overall enhancement of the athlete village at a select number of IRONMAN and IRONMAN 70.3 events in North America. The role will work closely with the Director of Village Enhancements, as well as collaborating with other regional leads to ensure global consistency. The role will also work closely with the Regional Event Activation Team as well as several internal departments to ensure Village Enhancement activations are placed in the most advantageous location. The position also handles the ordering of necessary signage, equipment and supplies required for all Village Enhancement implementation at select events. The enhancements being developed will serve four main pillars of Village Experience: Attract, Provide, Engage and Educate/Retain our athletes and endurance community.
Principal Duties and Responsibilities:
- Attend a select number of events in North America to lead the onsite Village Enhancements implementation, managing onsite set-up, oversight of live activation days, coordination of stage programming elements and Village based activities, and teardown.
- Responsible for unloading and loading the dedicated Village Enhancements trailer and coordinating use of equipment with onsite logistics team.
- Coordinate with the Director of Village Enhancements to create a detailed programming schedule for the IRONMAN Village stage. Coordinate internally with marketing teams Athlete Development and externally with sponsors, coaches, entertainment and others to further improve the programming effort during the Village hours.
- Work with local operations team on programming schedule to integrate enhanced programming into overall IRONMAN Village schedule.
- Work with event specific operations and activations team to ensure proper requirements for implementing specific village enhancements, as well as any equipment rentals, permit requirements are planned and secured.
- Ensure all deliverables are confirmed and provided for on-site needs within the village enhancements activations (power, internet, tables, chairs, etc.).
- Ensure activations remain within set budgets, and report budget tracking to the Director of Village Enhancements.
- Work with the Regional Event Activation team on layouts regarding the IRONMAN Village and placement of the Village Enhancement activations.
- Research other regional events and continue to learn ‘best practices’ in order to continually enhance the IRONMAN Village experience. This may include attending other events in market.
- Work closely with the Director of Village Enhancements to ensure the IRONMAN Village enhancements are being activated in successful and consistent manner across North American events.
- Manage any onsite seasonal employees who are working the Village Enhancement area at the event.
- Serve as the main contact for partners and vendors relating to the village enhancement at a particular event to ensure all needs are met throughout build-out, hours of operation and tear down.
- Oversee the signage, equipment, and supplies ordering process required for Village Enhancement activations. Ensure all orders are delivered on the appropriate timeline and are printed correctly.
Job Requirements:
Education and work experience:
- Bachelor's degree (B.A.) from four-year college or university; or two years related experience and/or training; or equivalent combination of education and experience in Sport Management, Sport Marketing or Business/Management related.
- Willingness and ability to travel to selected events and able to work a flexible schedule, to include weekends and holidays as required.
Skills and knowledge:
- At least two years of event coordinating experience/activation experience.
- Able to work a flexible schedule that sometimes includes long hours, weekends and holidays.
- Must be able to travel on an as needed basis. Expectations should be (10-15) weeklong trips per year.
- Able to lift 25lbs – 50lbs.
- Able to drive 30’ box truck.
- Able to operate a forklift.
- Able to walk/stand on foot for extended periods of time.
- Excellent organizational, leadership, and interpersonal communication.
- Clear and conceptual thinking ability is a plus.
- Excellent judgment and discretion; ability to manage multiple priorities simultaneously, meet deadlines, and handle work-related stress is required.
