Responsibilities:
- Drawing File Management: Sort and break out drawing files.
- Specification File Management: Review for needed bid documents, sort, and break out files.
- Incoming Estimating Email Management: Process invites to bid and inform the Coordination Supervisor, VP of Estimating, and BD Team of downloads. Process and file quotes, RFIs, and addendum documents as they come in.
- Project Information Maintenance: Assist the Coordination Supervisor in maintaining Building Connected project information with new document releases, due date changes, and miscellaneous messages.
- Bid Package Preparation: Prepare bid packages for private and public bids.
- Ordering COIs and Bonds: Order Certificates of Insurance (COIs) and bonds as needed.
- RFI Processing: Process RFIs from the estimating team to the General Contractor (GC).
- Loss Log Maintenance: Record project losses on the LOSS Log.
- Department Supply Ordering: Assist with ordering supplies for the department.
- Drawing Printing: Print drawings on an as-needed basis.
- Special Projects: Provide assistance to the Coordination Supervisor with special projects as needed.
Qualifications:
- High school diploma or equivalent; additional education or training in a related field is a plus.
- Strong organizational and time management skills.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Attention to detail and accuracy in handling documents and data.
