JOB SUMMARY

Lead and drive strategic initiatives and operational excellence across various responsibilities, including daily/weekly planning, regular operational reviews, team culture development, staff communications, and management processes. Organize and execute all staff and leadership meetings, ensuring they are thoughtfully structured, impactful, and aligned with the organization’s priorities. Serve as a strategic partner to the Executive Team, providing guidance on operational efficiency, resource management, initiative execution, and group strategy. Direct report to the CEO or Senior Executive.

Leadership Support

  • Provide strategic support to the Executive Team (e.g., Cabinet, SVP, VP levels), ensuring alignment with the organization's mission, vision, and values.
  • Act as a key liaison between the Executive Team (CEO direction) and internal/external stakeholders to foster collaboration across departments and campus-wide entities, with a focus on the areas of leadership-driven initiatives, prospect development, database integrity, and organizational performance frameworks.
  • Anticipate the needs of the Executive Team, providing updates on project progress and proactively removing roadblocks to maintain momentum.
  • Ensure timely involvement of the Executive Team in key decision-making processes where their leadership and authority are essential.
  • Support the preparation of presentations and materials for staff workshops, retreats, conferences, and organization-wide meetings.
  • Organize and prioritize critical issues and key information for the Executive team to facilitate efficient decision-making.
  • Support the Executive Team in fostering a culture of high performance, accountability, and continuous improvement.
  • Collaborate with the Executive Team to set key performance indicators to measure and improve department performance. Identify areas of improvement across the organization and make actionable recommendations to improve service delivery to the CEO.
  • Maintain the highest levels of discretion and confidentiality in handling sensitive information.

Strategic Planning and Execution

  • Develop and implement strategic and operational work plans that advance departmental goals while identifying and mitigating potential risks in collaboration with the Executive Team.
  • Monitor project progress, provide leadership updates, and recommend adjustments as needed to optimize outcomes.
  • Ensure that staff meetings, retreats, and leadership convenings are structured for maximum impact, fostering clarity, alignment, and shared purpose.

Cross-Team Collaboration

  • Drive collaboration with all partners, identifying areas where alignment can enhance operational efficiency and strategic outcomes.
  • Serve as a connector, ensuring that departmental initiatives integrate with broader institutional priorities and that teams work cohesively toward shared goals.

Operational Efficiency

  • Develop and oversee operational work plans that enhance efficiency and ensure seamless execution of strategic initiatives.
  • Oversee and evaluate project management systems to ensure they support coordination, accountability, and execution, making refinements as needed Prepare and analyze reports, presentations, and data insights for internal and external stakeholders.
  • Lead the effort to unify systems and structures and identify the best platforms to improve internal workflows, optimizing organizational performance and responsiveness.

Data Analysis and Reporting

  • Lead the development and structuring of the data analytics and business intelligence team, defining its vision, strategy, and operational framework.
  • Provide strategic oversight to ensure the delivery of actionable insights that support organizational goals.
  • Analyze data and performance metrics to provide insights that support decision-making and drive continuous improvements.
  • Oversee the preparation of executive reports highlighting key performance indicators and areas requiring attention.
  • Lead the creation and analysis of organizational performance metrics to identify trends and opportunities for enhancing the Executive Team operations.

Project Management

  • Lead and oversee critical projects, ensuring they align with organizational objectives and are delivered on time.
  • Manage special projects assigned by the Executive Team, coordinating cross-functional efforts and tracking progress against key milestones.
  • Facilitate productive meetings, leadership sessions, and both virtual and in-person meetings with well-prioritized agendas that align with business goals and objectives.
  • Manage incoming requests for data, information, and meetings, ensuring efficient organization and responsiveness.

WHAT YOU HAVE ALREADY ACHIEVED

  • Bachelor’s degree in Business Administration, Healthcare Administration, or a related field.
  • 10 years’ progressively responsible experience in a strategic and operational role within a mid-sized organization.
  • Experience leading cross-functional teams and managing strategic initiatives at an enterprise level.
  • 5 years of progressively responsible leadership experience in roles preferably within operations, administration, healthcare, or medical service delivery sectors.
  • Master’s degree in Business Administration, Healthcare Administration, Project Management, or a related field- Preferred
