The Accounts Payable Specialist plays a crucial role in managing the financial responsibilities of the organization by ensuring timely and accurate payment of invoices, maintaining vendor relationships, and supporting the overall financial operations. The ideal candidate will possess strong analytical skills, attention to detail, and excellent organizational capabilities.
Key Responsibilities
Invoice Processing: Receive, review, and process incoming invoices. Verify invoice accuracy, approval, and proper account coding in accordance with company policy.
Payment Execution: Prepare and execute weekly payment runs via checks, ACH, and wire transfers. Ensure payments are completed in a timely manner and logs are maintained.
Vendor Management: Maintain positive working relationships with vendors. Address inquiries and resolve discrepancies in a professional and efficient manner.
Expense Recording: Ensure expenses are properly recorded and match budgetary expectations. Collaborate with departments to gather receipts and resolve issues.
Reconciliation: Perform monthly account reconciliations to ensure accurate reporting and ledger maintenance.
Reporting: Assist in the preparation of weekly, monthly, and annual reports on accounts payable activities and related financial metrics.
Compliance: Ensure compliance with all internal controls, policies, and procedures. Stay informed about and comply with state and federal regulations regarding accounts payable, audits, and taxes.
Continuous Improvement: Contribute to the development and enhancement of accounts payable processes, including automation initiatives and best practice implementations.

Base Salary Range
$48,000.00 - $72,000.00

Qualifications
- Education: Associate's degree in Accounting, Finance, or a related field. Bachelor’s degree preferred.
- Experience: 2-3 years of experience in an accounts payable or general accounting role.
- Skills: Proficiency in accounting software and Microsoft Office Suite (particularly Excel, Coupa & Netsuite.
- Strong understanding of basic accounting principles.
- High degree of accuracy and attention to detail.
- Excellent time management skills and the ability to prioritize work.
- Strong analytical and data entry skills.
- Effective communication and interpersonal skills.
- Ability to work independently and as part of a team.
