What are the responsibilities and job description for the Guest Relations Coordinator position at Wright Brothers Institute?
Coordinates events with our customers. Greets guests and manages the front desk. Supports day-to-day operations of Wright Brothers lnstitute's 5000 Springfield Street location. Manages and organizes office operations including doing administrative functions. Arranges and coordinates hosted activities and events. Leads the execution of the events from setup to clean up. Serves as the initial point of contact for people entering the building and should be prepared to give impromptu tours and information. Manages the facilities calendar of events and communicates accordingly to ensure appropriate promotion and information is available to attendees.
Essential Functions
- Assists the Facility Operations Manager with the facility’s day-to-day operations.
- Ensures smooth operation of the facility and provides outstanding support for the day-to-day resident users and guest visitors. Maintains constant communication with the Operations team to ensure all members are aware of event details and status.
- Continuously improves the capabilities and operations of the facility to meet user needs.
- Ensures safety and security at the facility.
- Works closely with the Facility Operations Manager for planning events and calendar management.
- Is the first 'face-to-customer' when visitors arrive at the facility - professional guidance, greeting, and a "can-do" attitude is a must.
- Ensures all preparations for events are planned for and in place, including physical set up of the event area and presentations and telecommunications. Ensures the event runs smoothly by providing technical assistance where possible and responding to customer requests.
- Assists the Facility Operations Manager by ensuring the accurate collection and tabulation of visitor and event data.
- Develops and maintains outstanding customer relationships with frequent users of the facility. Works closely with WBI Project Managers and AFRL customers to plan projects and events that use the facility.
- Communicates with event guests to ensure the quality of events.
Education & Experience
1. High School Diploma required. Associate degree desirable.
2. Two (2) years of experience developing and administrating events.
3. Air Force or Department of Defense experience is a plus.
4. Microsoft Office Suite of software.
5. IT AV / Technical Support experience is a plus.
6. Experience working with Executive Level individuals is a plus.
7. Strong verbal and written communication skills.
8. Strong leadership, administrative and organizational skills.
9. Must be a U.S. Citizen.
10. Must be willing to work before or after standard business hours, on an event-by-event basis.
Working Conditions
This job operates in a professional office environment. This role routinely uses standard office equipment (computers, phones, printers, and scanners) as well as audiovisual equipment (VTC, projectors, cameras, sound systems).
