Job Description:
We are seeking a motivated and detail-oriented individual to join our team as a Project Assistant. The ideal candidate will be a team player who thrives in a fast-paced environment, possesses excellent organizational skills, and demonstrates a strong work ethic. This role will involve supporting our project managers in various administrative tasks, ensuring smooth project management, and assisting our billing/payables departments as necessary.
Responsibilities:
1. Assist project managers in setting up and organizing project files, documents, and schedules.
2. Coordinate with various internal departments to ensure timely completion of project milestones.
3. Assist project managers in the Accounts Payable process by facilitating documentation distribution.
4. Meet with project managers on a regular basis.
5. Prepare and submit accurate billing and invoicing documentation.
6. Maintain project documentation, ensuring accuracy and completeness.
7. Collaborate closely with project managers to track project progress and address any issues or delays.
8. Assist in coordinating subcontractors, suppliers, and vendors as needed.
9. Attend project scheduling meetings and keep detailed notes for reference.
10. Assist in the preparation of project reports.
11. Travel to Huntsville (Twice a month) and Memphis (Every other month).
12. Foster positive working relationships with team members and stakeholders.
Requirements:
1. High school diploma or equivalent; Bachelor's degree in a related field is a plus.
2. Previous experience in a construction or project management environment is advantageous.
3. Strong organizational skills and attention to detail.
4. Excellent communication and interpersonal abilities.
5. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
6. Ability to multitask and prioritize tasks effectively.
7. Adaptability and willingness to learn new skills.
8. Ability to work independently as well as part of a team.
9. Familiarity with construction terminology and processes is a plus.
10. Ability to travel to different locations on a scheduled basis.
