Job Summary:

Position Summary:
Responsible for managing the renovation projects for a variety of brand hotels including conversions, updates, enhancements, re-branding projects, renovations, remodels and new construction. Reports to and works directly with Construction Project Manager on future business and strategic planning as well as focusing on improving current systems and work processes.

Job Tasks / Responsibilities for the following phases include, but are not limited to:

Pre-Design Phase
  • Review and understand Brand Standards and operational requirements and Owner’s project goals and requirements. Conduct on-site survey with Owner to evaluate existing conditions, review and inspect all areas and collect required data to develop a scope of work.
  • Review and coordinate a project specific scope of Work as provided by Franchisor
  • Develop a conceptual project and design schedule.
  • Identify, interview, and recommend architectural design and interior design professionals. Design Phase:
  • Provide a central contact for Owner direction to the design and documentation teams. Coordinate and communicate, to Owner and Hotel, the project status, including project concerns and requests for information.
  • Review and manage design documents for quality and accuracy.
  • Create and maintain a critical path Project Schedule including project milestones.
  • Manage milestone deliverables through project team meetings.
  • Prepare meeting minutes and project status updates to communicate project information.
  • Conduct periodic drawing review to ensure design intent is in compliance with PIP requirements.
  • Coordinate drawing submissions to Franchisor for review and approval.

Construction Bid Award Phase:
  • Identify, interview and recommend bidders to Owner.
  • Assemble bid packages and issue to select hospitality contractors for bid to any single contract exceeding an amount of Ten Thousand Dollars ($10,000).
  • Conduct an onsite pre-bid meeting with selected bidders and appropriate parties to review the documents, the project site, and other project requirements. Manage all requests for information to ensure receipt of best pricing.
  • Review and analyze all bids. Prepare a complete bid analysis for the Owner’s review in forms approved by Owner. Recommend bid packages.
  • Review Certificates of Insurance for each contractor to ensure compliance to Owner’s standards.
  • Upon Owner approval, prepare contracts for general construction. Prepare and provide a final project budget (the “Final Budget”) for Owner review and approval prior to release of the general construction contract.
  • Update design and project schedules.
  • Coordinate project schedule with Owner and Hotel operator/property team.
  • Conduct a pre-construction meeting with Owner or Owner’s Representative, General Contractor, selected Sub-Contractors, Hotel Management Staff, and Procurement Agent to review Scope of Work, Project Schedule and all other project specific requirements as required.
  • Coordinate with the Procurement Agent relative to expediting and delivery schedules.
  • Request from Purchasing Agent reports, which track shipping dates and project costs.

Construction Phase:
  • Review all vendors, consultants and contractors’ invoices for accuracy and provide to Owner for payment.
  • Ensure all lien waivers, insurance certificates are maintained throughout the duration of the project.
  • Manage all aspects of project related activities including requests for information logs, change order, schedule and overall project budget control.
  • Use commercially reasonable efforts to (i) guard the Owner against defects and deficiencies in the Work and (ii) determine if the Work is being performed in a manner indicating that the Work, when fully completed, will be in accordance with the Project documents. Monitor quality of construction and conformance with documents.
  • Provide Owner with an updated project cost analysis on a monthly basis.

Construction / FF&E Closeout Phase:
  • Create and execute punch list items and assure completion.
  • Direct turnover of warranties and manuals to Hotel operations team.
  • Monitor equipment training as needed.
  • Collect conditional final lien releases from contractors and recommend final payment. Unconditional final lien waivers will be provided following receipt of payment.
  • Review all final vendors and contractors’ invoices for accuracy and provide to Owner for payment.
  • Reconcile the project’s account to enable the timely closure of the job and provide Owner with final project cost reports.



General Administrative – All Phases:
  • Conduct project meetings and publish meeting minutes.
  • Review contractor / vendor invoices for accuracy and proper release of lien.
  • Maintain project records.
  • Publish, update and maintain project directory.
  • Facilitate and direct project communications.
  • Coordinate with Owner, Third Party Consultants, Vendors, Hotel Management, and Regional Operations Staff.
  • Manage milestone deliverables through project team meetings.
  • Retain and maintain qualified field and home office staff sufficient to complete the Work in the manner required by this Agreement.
  • Finance / lender support.
  • Analyze property condition and identify needed improvements based on brand requirements and market needs.
  • Assist in preparation of detailed renovation budgets and renovation schedules for all projects.
  • Assist in selection of Architects, Designers and Contractor and support the Construction Project Manager for the entire project from start to finish.
  • Conduct pre-design / construction meetings with franchisor and appropriate parties for approved projects.
  • Provide accurate forecasted construction dates and hotel opening dates for senior management forecasting purposes.
  • Accountable for construction execution and delivery within approved budgets, schedules, and guidelines.
  • Review project plans as part of the franchise approval process, as applicable, regarding the proposed construction project.
  • Oversee all personnel working on construction project. Review architectural, landscape, structural, mechanical, plumbing, fire protection, and electrical drawings and specifications. Review and propose revisions based on brand standards and prototypical drawings.
  • Conduct meetings, conference calls and webinars as needed to explain brand requirements to owners, franchise, architects, and other project team members.
  • Review construction submittals and shop drawings in detail to ensure compliance with standards and prototype drawings.
  • Assist in drafting and reviewing insurance documents, legal agreements, and other documents related to the construction process.
  • Support operations at hotels for various needs including ADA, mechanical, electrical, plumbing, hazardous conditions, and normal operational procedures.
  • Visit the project during construction as needed to ensure compliance with brand standards, prototype drawings and the approved plans.
  • Assist in providing project updates including budgets, schedule and progress reports to Executive Team and ownership.
  • Address concerns immediately and provide detailed written correspondence to franchise and appropriate parties explaining any non-compliance issues as well as proposed solutions.
  • Continually provide project updates to Construction Project Manager for accurate record-keeping.
  • Prepare sketches of possible solutions for commercial areas, guest rooms, exterior design, etc., and present to management as part of the process.
  • Travel as necessary to oversee construction projects while managing travel expenses within company guidelines.



Job Knowledge / Skills / Abilities/ Other Requirements:
  • Prefer 5 years of experience managing construction and renovation projects, preferably in a hospitality industry related environment.
  • Proven knowledge of all phases of the construction process including contract administration, construction project planning, cost, and time management.
  • Excellent leadership & communication skills.
  • Experience in Excel & Microsoft Project.
  • Computer savvy with good working knowledge Microsoft Office programs.
  • Previous experience working with contractors and other related renovation professionals.
  • Excellent project management skills ensuring projects are timely, within budget and meet compliance and quality standards.
  • Ability to ensure proper issuance and execution of building permits, and to monitor deficiencies and corrective measures concerning zoning, code violations and variances, environmental impacts and OSHA compliance.

Job Environment:
  • Primarily outdoors with exposure to outside elements while monitoring the projects and activities as well as time in an office setting completing related administrative tasks.
  • Frequent travel required.
  • Some light to heavy lifting required – 50 pounds, as well as frequent reaching, climbing, bending, stretching, stooping, squatting, kneeling, climbing, while at construction site.




Minimum Qualifications:
  • Prefer 5 years of experience in a position of comparable responsibility.
  • 4-year Bachelor’s Degree in Construction or Business related focus, preferred.
  • 3 to 5 years’ experience in Franchise Hospitality related projects (focus on renovations.)
  • Familiar with major branded hotel construction processes and standards
  • Strong understanding of building codes, ADA regulations, and other applicable standards.
  • Strong understanding of structural, envelope, HVAC, plumbing, vertical transport, and electrical systems.
  • Experienced in design review, zoning, permitting, and other regulatory authorities.
  • Skilled in Excel, Word, Outlook, Project, and Power Point.
  • Skilled in technology, HSIA, FTG, PMS, and POS systems.
  • Firm understanding of AIA draw applications.
