The Role:
WWE is seeking to fill a unique, multi-faceted administrative and business support role. Organizational changes, including retirement, have created a gap in our Business Support Team’s ability to serve our staff. In this Executive/IT Assistant position, the candidate will support a broad range of moderate to complex administrative work assignments. The position requires working in a rapidly changing environment, working independently and proactively, interfacing in a highly professional manner, and working effectively with teams. The position requires absolute discretion and tact in managing correspondence and sensitive information. We seek to fill this position with someone with a great attitude, hard work ethic, and drive to excel in a multitude of ways. We anticipate the demands of the role to be divided according to the following:
Senior/Executive Administrative Support (50%):
This position will provide administrative and project support to one of our top-tier leadership team. A candidate with the following skills will thrive in this role:
- Technical editing and formatting documents for clarity, punctuation, grammar, and content.
- Effective communication with internal and external constituents, including clients, attorneys, sub-consultants, professional organizations, and staff.
- Content creation, including composing reports, emails, and memos; creating spreadsheets; and preparing presentations.
- Adept management of the executives’ schedules and commitments.
- Innate curiosity to learn about and research a variety of topics.
- Meticulous management of large project files.
- Ability/desire to oversee and partner with other administrative assistants.
- Execution of other administrative tasks as requested, including travel arrangements, data entry, copying, scanning, etc.
IT Support (30%):
The IT support role will serve as the first point of contact for IT-related matters and will work closely with our external IT Specialist. A customer-service mindset is essential to ensure staff have the resources they need to maximize the efficiency of our work. Typical duties will include:
- Troubleshooting computer, printer, Wi-Fi, VPN, and video equipment connections.
- Monitoring/implementing companywide cybersecurity and provide related staff education.
- Maintaining office and computer equipment and tracking disposal processes for retired equipment.
- Programming phone system and setting up/shutting down email accounts.
- Diagnosing phone hardware issues with support from third-party telecommunications provider.
- Facilitating equipment and software purchases with CAO/CFO.
- Tracking software licenses.
- Assisting staff with questions/problems related to Microsoft Office products.
- Responding to miscellaneous IT requests.
Document Management (10%):
As the company’s document manager, this position will oversee activities related to the physical and electronic storage of company files and resources. Typical duties will include:
- Maintaining a physical and digital library database of industry resources using Microsoft Access.
- Keeping a digital database using Microsoft Access of company-related documents in storage, arranging for periodic transport of files, and tracking disposal protocols.
- Properly filing and/or labeling large document files for storage.
- Recording project-related information into a Microsoft Access database.
- Managing electronic archives of project files and facilitating access to staff as needed.
Special Project Support (10%):
As needed, this position will provide administrative project support to project managers. Typical duties may include:
- Liaison/clearinghouse for projects involving large teams working out of several locations.
- Technical editing and formatting documents for clarity, punctuation, grammar, and content.
- Effective communication with internal and external constituents, including clients, attorneys, sub-consultants, professional organizations, and staff.
- Content creation, including composing reports, emails, and memos; creating spreadsheets; and preparing presentations.
Required Qualifications:
- Professional Demeanor: Excellent verbal and written communication skills.
- Technical Skills: IT/Help Desk support, proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Access, and Teams), and strong knowledge of video conferencing tools like Zoom, Teams, etc.
- Problem Solver: Obtain a quick understanding of a problem and work with internal and/or external resources to effectively resolve the problem.
- Confidentiality: Capable of handling sensitive information discreetly.
- Independence: Ability to work autonomously and execute projects with minimal direction.
- Team-focused: Work with a collaborative, team-oriented mindset
- Experience: Five years of relevant administrative or equivalent experience.
Preferred Qualifications:
- Background: Knowledge of civil engineering or law.
- Legal Expertise: Paralegal, clerk, or legal secretary experience is a plus.
- Executive Support: Previous experience supporting a Vice President or higher-level executive and experience supporting multiple executives.

Compensation/Benefits:
- Full-time position, Monday through Friday, with occasional overtime.
- Compensation range: $60,000-85,000/year, based on experience, education, and skills.
