This Opportunity
WSP is seeking a Project Administrator to join our team in El Paso, Texas. The selected candidate will join the Project Delivery Team assisting staff throughout the office in nearly all facets of the operation. This position offers an opportunity to advance your career while contributing to the success of the El Paso office.
Your Impact
- Full time position working 8:00 to 5:00 Monday through Friday, with flexibility to work overtime, if required, to meet internal or client deadlines
- Office receptionist greeting staff and hosting guests while performing other job duties simultaneously
- Plan, coordinate, and be responsible for Office functions and/or meetings (for example, office supplies, coffee, catered breakfast/lunch)
- Assist project team members with document formatting, copying, report production, binding, shipping, filing and scanning
- Interface with the accounting team regarding client invoicing, payments, and the monthly project billing cycle
- Assist with distribution of incoming mail and shipments delivered to the office
- Assist Operations and project managers with review and processing vendor invoices; become proficient with internal A/P process, routing and tracking invoices for payment
- Other Office duties as assigned
Who You Are
Required Qualifications
- High School diploma (or equivalent), associate’s or bachelor’s degree preferred
- Minimum 3 years of secretarial or business experience in a professional office setting (preferably at an engineering, construction, or architectural firm)
- Strong verbal, written, and interpersonal skills
- Highly organized and attention to detail
- Outgoing, friendly personality with ability to work both independently and collaboratively
- Project a professional company image through in-person and phone interaction
- Proficiency in Microsoft Office 365: Word, Excel, PowerPoint, Outlook, and Adobe software
- Demonstrated experience working in MS Excel using formulas, workbooks and links, generating pivot tables from flat files, creating charts, MS Access database a plus.
- Demonstrated experience with technical editing, document production (multi-section reports, Appendices, Table of contents, etc.)
- Ability and willingness to learn technical and business vocabulary
- Demonstrated experience with detailed (and labor-loaded) scheduling using MS Project and PowerBi).
- May be required to drive on company business for delivery of documents to agencies or clients - must have a current driver’s license and satisfactory driving record
- Ability to operate and maintain common office equipment (photocopying, facsimile, transmittal, telephone call director, etc.) Ability to multi-task and manage multiple priorities for individuals and teams within the office
