What are the responsibilities and job description for the Fund Development and Executive Administrator position at Wu Yee Children's Services?
Wu Yee Children’s Services is San Francisco’s largest head start and early head start provider. We are a non-profit organization, and our work is possible through government grants and funding, alongside funding from individual, family, and corporate donors.
The Fund Development and Executive Administrator reports to the Chief Executive Officer, playing a critical role, supporting the general operations of Wu Yee, its programs, communications and fundraising efforts.
The ideal person for this role has exceptional verbal and written communications skills, ablity to prioritize and manage mulutiple projects requiring the collaboration of senior executives, board members and community leaders, and strong attention to the admistrative details of fundraising and contracts. Experience and/or certification in Salesforce is desireable.
Fund Development and Executive Assistant Responsiblities:
Fund Development Duties
- Prepare and send donor thank you letters, annual reports, and invitations.
- Assist the Development Director in organizing donor recognition events and open house events.
- Be primary contact for vehicle donation program: answer donor questions and track sales in database.
- Organize tours for donors, input Personal Contact Team (PCT) notes to Salesforce
Grants Support
- Grant writing: prepare drafts, pull together background information, edit, copy, research, and assemble packets.
- Prepare and send out Letters of Intent.
- Track and file support letters.
- Maintain current information regarding appropriate funding resources and research potential funding sources.
- Provide general grant support to Development and Communications Director and Executive Director as needed.
- Community research to maintain statistics and community needs info.
- Maintain archive of grant applications.
- Ensure timely acknowledgment and proper follow up of grants and donors.
Database Management
- Be resident expert in Salesforce CRM.
- Effectively act as the liaison between our users, vendors, and the application development team.
- Oversees complete and accurate funder and gift information in Salesforce, to track process, reporting and research, reconcile information with Accounting.
- Keep donor database continually updated, ensure that all entries are accurate.
- Develop and implement coding system for tracking specialized information.
- aintain, refine, and update donor database and media contact database.
- Set up and generate weekly and monthly reports on Annual Fund, events, and volunteers.
- Research new and existing prospects and enter all relationships and linkages in Salesforce.
Contract Management
- Maintain backup files and database of all contracts and MOU’s.
- Generate contract reports to management as needed.
- Track reporting for all contracts.
Special Events
- Send out invitations, Save-the-date cards, auction solicitation letters, sponsorship letters, Program ad letters, raffle letters, and thank-you letters to all donors and supporters.
- Coordinate silent auction donations and raffle for the annual dinner.
- Work with designers to develop invitations, program, and other materials and publications needed for the dinner.
- Research events in which Wu Yee could get involved and track sponsorship.
- Correspond with, organize, and oversee fundraising volunteers.
- Help plan and provide support at events, prepare materials, coordinate with staff and volunteers.
Communications and Public Relations
- Help plan and organize press conferences.
- Update and develop new promotional materials about programs.
- Facilitate the production and distribution of the Wu Yee Times (quarterly newsletter) and the Annual Report.
- Develop and maintain cooperative relationships with community agencies and staff
- Assist production of background materials, videos, and other resource items for agency.
- Maintain current information regarding local media: reporter contacts, relevant, important articles, trends and major developments.
- Attend community functions as needed to represent agency and maintain good community relations.
Internet Presence
- Work with programmers, designers, and Web marketers to design, implement, and update the Web site.
- Develop, maintain, and send out regular e-mail newsletter and link e-mail newsletter to website.
- Ensure that all sections of the Web site are updated regularly.
- Develop on-line edition of Wu Yee Times.
Executive Support Duties
- Assist the CEO by handling high level written and oral external communications including correspondence, emails; drafting letters and reports for review by CEO.
- Provide CEO and leadership team with administrative support as required.
- Act as Liaison between Board members on behalf of the CEO, including arranging for and obtaining signatures and obtaining confidential information required for certain grant or government filings as needed under the direction of the CEO.
- Provide administrative support for Board meetings.
Fund Development and Executive Assistant Requirements:
- At least two (2) years fundraising administration in non-profit/social sector
- Experience with CRM platform required, Salesforce certification a plus
- Experience providing administrative support to leadership required
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office programs (PowerPoint, MS Word), Google Workspace, and database management.
- Team player with the ability to work independently and manage time effectively.
- Detail-oriented and capable of maintaining confidentiality.
- Strategic thinker with problem-solving and decision-making capabilities.
- Availability for evening and weekend work, with a willingness to travel within San Francisco.
Compensation and Benefits:
- Salary Range $82,717 - 95,035. Full time, exempt.
