We are seeking a highly organized and detail-oriented Administrative Assistant to support the operations of our hardwood finish plant. The ideal candidate will provide administrative support to the plant management team, ensure smooth day-to-day operations, and help maintain an efficient and productive work environment. The role involves various clerical, communication, and organizational tasks aimed at supporting plant operations, scheduling, inventory tracking, and customer service. This role will also assist in basic HR/Safety functions.
Key responsibilities:
- Perform Administrative Assistance to support production: Tracking orders, managing schedules & inventory, shipping and receiving
- Correspondence handling: Answering phone calls, emails, and managing incoming and outgoing correspondence.
- Office supply management: Maintaining inventory of office supplies and placing orders when needed.
- File management: Organizing and maintaining physical and electronic filing systems.
- Meeting coordination: Setting up meeting rooms, preparing agendas, and taking minutes.
- Support Sales: With order updates and logistics coordination
- Basic HR & Safety support: May assist with onboarding new employees, processing paperwork, scheduling safety meetings and maintaining employee records.
- Customer service: Interacting with clients and vendors, addressing inquiries, and maintaining a positive company image.
