In this role, you will manage front desk operations, greet visitors with a warm welcome, and ensure our Sales and Marketing teams have the support they need to succeed. Youll be juggling various responsibilities, from coordinating events to handling day-to-day tasks, all while directly reporting to our Director of Marketing and collaborating closely with both teams.

Job Highlights
Customer Service: Greet visitors, answer inquiries, and direct them to the appropriate departments or individuals.
Administrative Support: Provide general administrative support to the team, including managing incoming calls, coordinating shipments and deliveries, overseeing postal requirements, organizing and sending mailings, ensuring office supplies are stocked, preparing documents, and traveling to pick up supplies as necessary.
General Scheduling & Calendar Management: Coordinate appointments, meetings, and travel arrangements for management and staff.
Office Events Coordination: Oversee and manage hotel reservations for external partners, coordinate meals and transportation, manage internal room bookings, and arrange necessary supplies and audiovisual equipment for all Davenport office meetings.
Communication: Draft, proofread, and send emails, memos, and other correspondence; answer and direct phone calls.
Document Management: Organize and maintain files, both physical and digital, ensuring proper documentation and record-keeping practices.
Data Entry & Reporting: Enter data into spreadsheets, databases, or software systems; assist with creating reports and presentations.
Office Organization: Maintain office cleanliness and ensure office equipment is in good working order; coordinate with vendors for maintenance and supplies.
Project Assistance: Support with ongoing projects, including scheduling meetings, preparing materials, managing custom mailings, and tracking progress.
Qualifications
High school diploma or equivalent required; Associate degree or higher preferred.
A minimum of 2 years of proven experience in an administrative assistant role or a similar administrative capacity, with a history of efficiently managing office functions and supporting team operations.
A valid drivers license and successful completion of a Motor Vehicle Record Check are required upon hire.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office (Word, Excel, and PowerPoint).
