REQUIREMENTS:
1. Knowledge of all basic office machines.
2. Computer experience required.
3. Use of Microsoft Office required. Must possess typing skills on conventional machines as well.
4. Accounting experience measurable to prepare company books, including accounts payable, accounts receivable, payroll, and inventory. An outside CPA firm will be employed for auditing and preparation of income taxes.
5. Requires a great deal of energy, planning for the future, and integrity. Must be aware of the importance of confidentiality, both in the business and concerning other employees.
6. Physical requirements: strong arms/wrists for constant typing.
JOB DESCRIPTION:
1. Prepares all office forms as needed for job descriptions. Prepares hiring/termination packets and maintains them.
2. Oversees all operations within the office, including reception and answering phones.
3. Responsible for bookkeeping operations, including accounts payable, accounts receivable, and inventory. Oversees purchasing.
4. Prepares payroll, quarterly reports, and IRS deposits.
5. Maintains computer files as well as hard files.
6. Performs credit checks on new customers and maintains current sales tax exemption certificates. Maintains good public relations with customers.
7. Addresses employee problems and if unable to resolve refers to the C. E. O.
8. Maintains accounting system and oversees with attention to detail.
9. Compiles monthly bookkeeping computer-generated reports and delivers to C. E. O. for his review.
10. Maintains employee files – keeps secured and confidential. Keeps up-dated and advised on current payroll requirements and legalities that comprise employee files.
11. Maintains a paper flow file to track all income and expenses.
12. Oversees collection of delinquent accounts. Sends monthly statements and/or calls customers with past due accounts.
13. Oversees mail.
14. Keeps calendar of events and makes certain they happen on time. This includes invoicing and pay requests especially. Keeps communications between top level people open and updated.
15. Maintains checklists – on everything.
16. Maintains a well-managed filing system and keeps all paper updated as necessary.
17. Attends continuing education seminars as directed by C. E. O.
18. Performs some light cleaning chores, dusting, vacuuming, etc., as needed to keep office orderly.
19. Performs other chores as needed.
Job Type: Full-time
Pay: $12.00 - $18.00 per hour
