The incumbent will play a significant role in conducting financial stewardship efforts along with promoting the University's mission and collaborate closely with the Executive Director, Offices of Financial Aid, Admissions and Fiscal Services to support the overall stewardship and recognition plan of the Office of Institutional Advancement. Minimum Qualifications
- Bachelor's degree from an accredited college/university in accounting, business, communications, marketing, public relations, or a related discipline.
- 2-3 years of reconciliation and reporting experience preferred.
- Exceptional writing and editing skills.
- Strong Accounting analytical, communication and people skills.
- Creative and strategic thinking abilities.
- Strong problem-solving, organizational and project management skills.
- Ability to coordinate multiple projects.
- Ability to gather and analyze data and generate reports.
- Must be able to take the initiative to coordinate processes.
- Ability to meet deadlines.
- Professional attitude and the ability to maintain confidentiality.
- Demonstrated ability to work independently, and as a team member.
- Intermediate to advanced level skills in Word and Excel programs.

Essential Duties and Responsibilities Description
- Collaborate with Executive and Assistant Directors to formulate comprehensive donor reporting for top donors and implement the reporting program (i.e., impact reports).
- Reconcile with Admissions (new students) and Financial Aid ( continuing students), the offers, accepts, and remaining funds to award. Enrollment Management
- Reconcile scholarship awards and available fund balances with the Office of Fiscal Services.
- Assist in post-award monitoring and auditing of the scholarships criteria for restricted and endowed to ensure they are being offered according to the criteria.
- Proficient in use of Blackbaud Award Management and serves as a member of the implementation and administrative team for Scholarship Management platforms and reporting tools.
- Responsible for meeting with Financial Aid and/o Admissions concerning the student (s) providing an essay or thank you note to the donor.
- Assist in monitoring the timeliness of the scholarship underwriting process.
- In coordination with the Donor Relations Specialist, support the design and management processes to steward the scholarship reporting program for the University, provide donor information to students, create bios for scholarship donors, process scholarship thank you letters from students, manage scholarship mailings to donors, incorporate scholarship information into print and web materials, and create web page with bios of endowed scholarship donors.
- Update and maintain fund contacts and endow fund biographical information in database and photo files, obtain pertinent donor information and track scholarship recipients to ensure the most up to date information is received.
- Serves as part of the Advancement Stewardship Team
- Collaborate in establishing and implementing personalized and individual stewardship reports for top donors.
- Collaborate in preparing, verifying, and producing the annual donor honor rolls.
- Establish and maintain effective communication with family members regarding memorial donations and fund balances.
- Work with campus partners to communicate new gift information to each unit.
- Work on special projects and perform other duties, as assigned.
- Work collaboratively with the Advancement Team and always represent Xavier University of Louisiana in a professional and diplomatic manner.
