Description:
Reception:
- Provides superior customer service; answers phones and greeting parents, children, and other individuals entering the facility in a courteous, helpful, professional manner.
- Directs visitors by maintaining employee and department directories; giving instructions – sign-in log.
- Maintains security by following procedures; monitoring logbook; updating emergency contact binders; notify staff to receive incoming guests.
- Responsible for various office duties including sorting and distributing mail/deliveries; faxing; filing; preparing reports, letters, and other documentation.
- Maintains staff call out logs and reports to supervisors upon entry.
- Accurately prepares and maintains billing statements, records payments, receipts and other transactions related to the program operations.
- Maintains safe and clean reception area by complying with procedures, rules, and regulations.
- Assist in updating monthly fire drill log.
- Maintains all information board in the lobby clean and with up-to-date information.
Data Entry (comprises 60% of job duties):
- Will enter daily attendance for all programs.
- Will enter daily meal counts for all programs.
- Will enter In-kind for all programs.
- Will Scan and upload application documents to the system under child's profile and place documents under correct tabs.
- Will prepare and submit requested reports of all systems.
- Complete any other duties as assigned by the Administrative and Data Management Specialist.
- Highschool diploma or Equivalency.
- Minimum of 1 year of data entry experience.
- Strong written and verbal communication skills.
- Attention to detail and accuracy.
- Ability to converse, read and write Spanish and English (preferred).
- Ability to meet deadlines consistency.
- Strong Customer Service and orientation Skills.
- Commitment to dual language learning (English and Spanish).
- Intermediate to advanced computer skills, internet, and e-mail.
- Ability to secure clearance for PA Child Abuse, PA Criminal History, FBI, and National Sex Offenders Clearance (required).
- Possess or ability to secure a Driver’s License and insurance (preferred).
- Ability to secure health clearances every two years and TB once (required).
- Proficiency in Excel, Powe point and Microsoft Office, Salesforce.
Physical Demands:
- Ability to lift up to 25 pounds
- Ability to climb steps.
