About the Role
The Operations Assistant plays a vital role in providing high-level administrative support to company leaders, ensuring the smooth operation of daily activities and fostering effective time management. Acting as a gatekeeper and liaison, the Executive Assistant manages schedules, communications, and critical tasks, allowing the executive to focus on strategic priorities. The ideal candidate is proactive, detail-oriented, and highly organized, with exceptional interpersonal and problem-solving skills.
Key responsibilities include:
- Prepare, edit, and proofread correspondence, reports, presentations, marketing assets, and other documents.
- Manage and maintain executives calendar, including scheduling meetings, appointments, and travel arrangements.
- Serve as the first point of contact for internal and external stakeholders, addressing inquiries and directing them as appropriate.
- Coordinate and facilitate team and executive meetings, including distributing agendas, taking minutes, and tracking follow-ups.
- Organize travel itineraries, accommodations, and expense reports.
- Support light marketing needs including event planning, trade show logistics, maintaining brochure libraries, administering our client experience center, and social media posting
- Manage light website / eCommerce tasks including adding product listings, making website updates, and uploading product data
- Handle confidential information with discretion and professionalism.
- Support other special projects and initiatives as needed.
90-day success expectations include:
- Ability manage executives calendars, travel itineraries, and expense reports
- Ability to create or edit marketing assets using existing templates
- Ability to produce relevant social media posts using AI tools
- Ability to create a product listing and complete a price/inventory update on our websites
Job Requirements
- Minimum of 3-5 years in an executive assistant or similar administrative role
- Bachelors degree in business administration or a related field (preferred, but not always required)
- Strong computer skills including proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Publisher) and willingness to learn our key internal systems (E-Automate, PowerBI, Salesforce)
- Excellent verbal and written communication skills
- Strong organizational and time management abilities
- Ability to multitask and prioritize effectively in a fast-paced environment
- Professional demeanor and interpersonal skills
- High level of integrity and discretion in handling confidential information
- Proactive, resourceful, and detail-oriented with a problem-solving mindset
- Ability and willingness to work onsite five days per week at our Middletown, CT, offices
- Hours are 8 am to 5 pm EST, Monday through Friday
