We are currently looking for a full-time Office Manager to help take our company to the next level and help provide top-notch customer service to produce enthusiastically satisfied customers.
Responsibilities:
As the Office Manager, you will be responsible for providing support to management in the orchestration of administrative functions, managing phone lines and scheduling clients, overseeing basic bookkeeping functions, and help retain customers by providing emotional gratification through follow-up contact with them and through the accurate transcription of customer information.
Your responsibilities will include:
- Phone lines: Answering phones and assisting callers with scheduling cleaning appointments, intaking restoration clients, and providing project updates as needed.
- Bookkeeping: Managing accounts payable and receivable, reconciling bank statements, and maintaining accurate financial records using Quickbooks Online.
- Payroll Administration: Processing weekly payroll for all employees, ensuring accuracy and compliance with state and federal regulations and managing the payroll backend processes.
- Accounts receivable: Generating invoices for clients and following up on outstanding payments, including invoicing insurance companies and managing related documentation.
- Accounts payable: processing and issuing approved payments to vendors and contractors.
- Leadership: Providing leadership, guidance, and oversight to office personnel, delegating tasks effectively, and fostering a positive and productive work environment.
- Conflict Resolution: Addressing conflicts or issues that arise among office personnel, clients, or vendors with diplomacy and professionalism.
- Office Management: Overseeing office operations, including inventory management, supply ordering, and maintenance of office equipment and facilities.
- Administrative Support: Providing administrative support to senior management, including scheduling meetings, managing correspondence, and assisting with special projects as needed.
Qualifications:
- Previous experience in office management, with a minimum of 5 years of relevant experience. Restoration/construction/home services industry experience is a plus.
- Friendly and confident phone presentation - you will be a key player in making a positive, lasting first impression with clients.
- Familiarity with Quickbooks Online and Microsoft Office Suite.
- Ability to handle common customer objections and close a sale over the phone.
- Ability to self-manage and work independently by utilizing creative problem solving and decision making skills.
- Excellent communication and interpersonal skills.
- Willingness to be a flexible team player as company and client needs change.
- Knowledge of insurance billing processes and experience invoicing insurance companies is a plus.
- Bachelor's degree in accounting, finance, business administration, or related field is a plus.
Schedule: Monday - Friday 8am - 5pm, rotational on-call designation for after-hours disaster restoration phone responsibilities required.
