Provides Administrative Support To Department Management And Related Staff To Ensure Efficient Office Operation. Involved In A More Active And Broader Coordination Capacity For Area Projects And Tasks.

Responsibilities
- 1. Utilizes Various Word Processing Software, (Word Processing, Spreadsheets And Graphics) To Produce Quality Documents And Related Support Material.
- 2. Assists In Effectively Organizing Work Flow Of Multiple Area Projects And Tasks.
- 3. Organizes, Maintains, Retrieves And Disseminates Information In Accordance With Office Procedures.
- 4. Ensures Outstanding Issues And Pending Matters Are Brought To Closure.
- 5. Answers Routine Inquiries And Directs Other Inquiries And Requests As Appropriate. Routes Incoming And Outgoing Correspondence As Necessary.
- 6. Initiates And Maintains Scheduling, Calendars And Travel Itinerary For One Or More Individuals.
- 7. Prepares Original Written Correspondence, Reports And Presentation Materials For Management/Staff Review And Revisions.
- 8. May Be Required To Assist Other Department(S) Staff Or Communicate And Coordinate Activities In Regard To Completing Projects/Tasks.
- 9. Sets Up, Organizes And Maintains Ongoing Systems (I.E., Tickler Files, Small Databases, Record-Keeping Systems), To Ensure Efficient Office/Unit Operations.
- 10. Meets Performance Expectations For Customer Service, Teamwork, Resource Utilization, And Staff And Self Development As Outlined In Performance Review.
- 11. Performs Other Duties As Assigned Or Directed To Ensure Smooth Operation Of The Department/Unit.
- 12. Complete Kronos Time Records Efficiently And Accurately Each Week.
- 13. Produce Weekly Absenteeism Report And Records Appropriate Information.
- 14. Receive And Triage Customer Requests
- 15. Update Master Staffing Schedule And Post Staff Pto On Quarterly Basis
- 16. Order Department Supplies And Equipment Following Established Mm Policies, Ensure All Items Ordered Are Received, And Maintains Department Purchasing Records.
- 17. Monitor And Report Employee Training Compliance (Healthstream, Safety, Department). May Assist Staff With Completing Assignments.
- 18. Monitor And Report Completed Employee Performance Appraisal Compliance.
- 19. Produce Monthly Indicators.
- 20. Manage Department Employee Satisfaction Spreadsheet Documentation.
- 21. Manage Tms Work Order System To Include Inputting Data, Generating Reports And Creating Schedules.
- 22. Produce Various Reports Including Bedtracking, Tms, Medical Waste, Waste Tracking, Absenteeism, Employee Hours, Etc.
- 23. Tracks Department Budget And Monitors Expenditures For Accuracy. Identifies And Reports Reasons For Budget Variances.
- 24. Attends And Records Minutes Of Weekly And Monthly Meetings.
- 25. Under The Direction Of Manager, Regularly Coordinates Projects And Compiles Reports Which May Be One Time Or Recurring In Nature.
- 26. Maintains Evs Policies And Procedures, Assuring Timely Updates And Signatures Appropriate To Meet Guidelines And Requirements.
- 27. Makes Director Aware Of Noncompliant Issues.
- 28. Provides Clerical Support To Evs Supervisors.
Qualifications
EDUCATION
High School Graduate Or Equivalent.
EXPERIENCE
Position Is Required To Have The Knowledge Base Of A Secretary; At Least Two To Three (2-3) Years Administrative Support Experience Is Required.
