The Float Coordinator schedules float staff to departments requesting administrative or clinical support to cover staff vacancies. This position requires medical assisting and front desk skills and is required to participate in float coverage. The Float Coordinator will be responsible for communicating with float staff, practices and management regarding the coverage calendar, coverage changes and coverage requests. Responsible for scheduling new and ongoing training for float staff and assist in cross charging hours to the correct departments. Essential duties and responsibilities include the following. Responsibilities
- 1. Maintain coverage/float schedule (alterations, cancelations, additions).
- 1.1 Responsible for obtaining and scheduling float requests, communicating schedules and changes to appropriate staff members - float staff, practice leads, practice coordinators, practice supervisors and practice operations.
- 2. In coordination with practice operations, practice supervisor or coordinator, support ongoing operation of the practice site to ensure that quality services provided are cost effective and efficient.
- 2.1 Escalate operational issues to manager, address float staff performance issues and when appropriate escalate to manager
- 3. Performs administrative responsibilities as assigned
- 3.1 Maintain proper telephone etiquette when speaking with patients/companies and healthcare team.
- 4. When necessary, executes all necessary pre-authorizations as required by insurance companies for upcoming diagnostic tests and procedures.
- 4.1 Coordinate and obtain referrals, prior authorizations, testing or procedures when necessary
- 5. Performs patient care responsibilities as assigned
- 5.1 Identifies self to patient/family and explains to patient/family the roles of each member of the care delivery team.
- 6. Maintain electronic medical records and/or paper medical charts effectively and in accordance with NEMG policies and procedures.
- 6.1 Maintaining/scanning patient medical records.
- 7. Performs environmental responsibilities as assigned
- 7.1 Sets up instruments and equipment according to department protocol.
- 8. Responsible for daily activities including but not limited to message retrieval from answering service, voicemail, retrieval and distribution of faxes, filing, photocopying, opening and sorting mail.
- 8.1 Forwards phones to answering service and notifies answering service about the physician's on-call status.
- 9. Collect and reconcile co-pay collections/cash drawers (cash, checks, credit card payments) within Epic in accordance with NEMG policy and procedures.
- 9.1 Request float staff cash draws and request cash draw supervision for others who need access
- 10. Collaborate in the development of and contributes to individual team, and department quality improvement and evaluation activities.
- 10.1 Attend and actively participate in NEMG meetings
- 11. Utilize appropriate methods for interacting effectively and professionally with persons of all ages and from diverse cultural, socioeconomic, educational, racial and ethnic backgrounds, sexual orientations, lifestyles and physical abilities.
- 11.1 Coordinate efforts to gain patient and family feedback regarding their experiences of healthcare (focus groups, surveys and other means) and participate in interventions which address articulated needs.
- 12. Performs all other related/additional tasks as requested by physicians and/or management.
- 12.1 Maintains patient autonomy, confidentiality and dignity.
- 13. May assist and/or perform chaperone duties for patient medical procedures as needed.
Qualifications
EDUCATION
High School Diploma or equivalent. Graduation from an accredited medical assistant certificate program. Certification/Registration (CCMA/CMA/AAMA/RMA) required. Some college preferred.
EXPERIENCE
Minimum of 3-5 years applicable work experience in a primary care or specialist office or hospital setting required.

SPECIAL SKILLS
Excellent, organizational, communication, customer service and teamwork skills required. Ability to multi-task is essential. Core philosophy or values consistent with a patient-centered approach to care. Demonstrates professional, appropriate, effective and tactful written, verbal and nonverbal communication with patients, families, medical staff, colleagues, vendors, and other departments throughout the continuum of care to promote continuity of care and services and enhance clinical image. EMR experience preferred and working knowledge of Microsoft office applications required. CPR certification preferred. Bilingual preferred but not required.
PHYSICAL DEMAND
MMR is required. Varivax (chicken pox vaccine) or evidence of prior chicken pox is required. Hepatitis B (or signed declination) is required for those with potential exposure to blood/body fluids. Tdap and influenza vaccination are strongly encouraged. Must complete work in a timely fashion.
