Position Summary:
The HVAC Service Estimator plays a critical role in preparing accurate and detailed cost estimates for HVAC service repairs, replacements, and maintenance contracts as
required. This position requires close collaboration with technicians, customers, and other members of the service team to deliver estimates that are timely, competitive, and reflective of our commitment to excellence. By providing precise project scopes and cost breakdowns, the Service Estimator ensures customer satisfaction, enhances
operational efficiency and drives company profitability.
Job Functions:
Estimate Preparation
- Review service requests to assess HVAC system needs and develop comprehensive cost estimates for repairs, replacements, and maintenance.
- Calculate labor, material, and equipment costs based on project specifications and customer requirements.
- Stay informed about industry pricing trends and cost factors to ensure competitive bids.
Customer Engagement
- Communicate professionally with customers to gather project details, clarify requirements, and present estimates.
- Offer expert guidance on HVAC solutions tailored to customer needs, preferences, and budgets.
Collaboration
- Partner with service technicians to confirm accurate diagnoses and recommend effective solutions.
- Liaise with vendors and suppliers to secure competitive pricing for materials and equipment.
Documentation and Reporting
- Prepare detailed scopes of work, cost breakdowns, and proposal documents for internal and client use.
- Monitor and report on bid success rates, project profitability, and other key performance metrics.
Service Contract Support
- Provide support for service contract work as needed, ensuring seamless integration with ongoing projects.
- Step in during slower work periods to maintain productivity and meet operational demands.
Process Improvement
- Help refine estimating processes, tools, and templates to improve efficiency and accuracy.
- Stay up to date on advancements in HVAC technology and service practices to enhance proposal quality.
Compliance
- Ensure all estimates adhere to local codes, company standards, and safety regulations.
Knowledge, Skills and Abilities:
- High school diploma or equivalent; technical training in HVAC is a plus.
- 5–10 years of experience in HVAC service, estimating, or a related field.
- Proficiency in Microsoft Office Suite, especially Excel.
- Strong knowledge of HVAC systems, components, and industry practices.
- Experience with estimating software or CRM tools is advantageous.
- Excellent communication, organizational, and analytical skills.
- Highly detail-oriented with strong numerical and problem-solving skills.
- Team player with a customer-focused, positive attitude.
- Skilled at managing multiple projects and meeting deadlines under pressure.
