Description of Position
Reporting to the Property Manager, the Coordinator, Employee & Student Housing, is responsible for the successful day-to-day operations of the department. This role will facilitate housing operations issues including applications, contracts, room assignments, billing, record management and hall access coordination. This role will also serve as the subject matter expert in all departmental technology and software. The Coordinator, Employee & Student Housing may be responsible for assisting those prospective and current renters if that function is not outsourced. Additionally, the Coordinator, Employee & Student Housing is responsible for adhering to YC policies and procedures needed for the effective and efficient operations of a college department.
Duties
Housing
Oversight and execution of room occupancy and housing reservation management, including room placements, changes, consolidations, and waitlist management.
Housing contract implementation and management of related processes, including contract withdrawal and early termination requests and appeals.
Design, create and revise 21+ Housing, Workforce Housing and Facility Rental pages on Yavapai College Website.
Under the direction of the Property Manager, create, edit, and publish (on web site) all 21+ housing documents (application materials, informational materials, etc.)
Processes billing for housing contracts, property damages by residents, and security deposit deductions for damages upon move-out
Provide best in class customer service guiding incoming and current residents and guardians through all aspects of the housing process.
Facility Rentals
Collaborate with 3rdPart Summer Camps operator.
Process 3rdparty facility rental agreements, if this function is not outsourced.
Departmental
Perform purchasing activities and act as travel liaison for department.
Monitor and maintain departmental budgets.
Serve as primary technical administrator for multiple integrated software systems and programs supporting department operations, including Ellucian Banner, StarRez, JotForm, Airtable, Cognos, CourseDog and Salesforce.
Serve as back-up department liaison to campus stakeholders and internal departments.
Work occasional weekends as needed for special events and peak times (move-in/move-out.)
Other duties: Perform miscellaneous job-related duties as assigned by the Property Manager.
Minimum Expectations & Requirements
Bachelor’s degree or an equivalent combination of education and experience
Two years of experience in related work
Ability to travel and work at multiple YC locations
Ability to work a flexible schedule including occasional evening and/or weekend hours as determined by the department
Demonstrated ability to work collaboratively with diverse stakeholders and adapt to evolving departmental needs.
Proficiency in MSOffice suite (Word, Excel, Outlook)
Preferred Skills & Abilities
Experience in a community college/higher education work environment .
Experience working with customer relations management systems and other software systems referenced in posting.
