The Center Director is required to complete preparatory tasks and engage in remote work at least two months before the camp start date, with all terms open to negotiation.

Job Description

Your key tasks will consist of, but not be limited to :

Student Supervision :

  • Act in loco parentis to ensure and maintain student discipline, welfare, safety, and security.
  • Initiate appropriate disciplinary actions where necessary.
  • Deal with any medical issues and emergencies.
  • Stakeholder relations :

  • Manage relationships with clients (agents, chaperones, students, and parents) and seek feedback to ensure their satisfaction with the program.
  • Manage relationship with the host university.
  • HR :

  • Update staff handbooks and train the team.
  • Effectively plan and oversee the arrival, check-in, and check-out processes for staff.
  • Develop and execute training sessions for new staff members, covering both virtual and on-site formats.
  • Collect all relevant new hire paperwork from staff and submit to the main office.
  • Establish and maintain a positive working atmosphere.
  • Counsel and manage stressed staff.
  • Facilitate and guide professional development meetings, seminars, and team-building activities
  • Supervise the management team in devising weekly schedules of work for teachers and activity counselors ensuring staff gets adequate time off.

  • Promptly document and report accurate work schedules to the main office for payroll processing.
  • Assist the main office in interviewing, hiring, and training new staff.
  • Administration :

  • Read and understand all handbooks and manuals to be aware of your own role as well as those of the rest of the team. Keep the manuals up-to-date by making necessary ongoing changes.
  • Open the center and prepare for staff arrivals.
  • Check, file, and follow up on incident reports as and when needed.
  • File weekly and end-of-summer reports.
  • Ensure that paperwork on all students on site is correct and completed in advance.
  • Ensure that any student who leaves the campus with someone who isn’t a member of YES USA staff is signed out and then signed back in accordingly.
  • Oversee the allocation of beds and supervise the administrative team in ensuring precise record-keeping.
  • Order meals on campus and maintain accurate records. Collect payment confirmations and receipts, etc.
  • Manage buses (when applicable), pay invoices in a timely manner, save receipts, etc.
  • Ensure the office is functioning and secure at all times.
  • Manage stock (e.g. paper, office, and teaching supplies, dinnerware, etc.) to prevent waste, and get approval from the main office to order extra stock in a timely manner.
  • Staff and supervise daily room checks. Deal with any problems or emergencies.
  • Schedule and supervise mid-stay cleanings and linen exchange.
  • Close the center, pack and list all stock, ship to the main office when needed.
  • Submit weekly student and chaperone feedback reports to the main office.
  • Supervise the admin team in collecting and storing pictures and videos for each group and posting them on social media.
  • Protect and maintain YES USA equipment and resources and return them to YES USA (e.g. T-shirts, travel cards, sports equipment, etc).
  • Arrivals / Departures :

  • Ensure the campus is checked on arrival and any damage is noted and agreed upon with the host institution before the arrival of new students.
  • Liaise with the host institution and supervise the admin team to ensure everything is ready for arrivals (rooms are clean, linens / towels are available for each participant, etc.).
  • Manage arrivals (transfers, welcome / check-in procedures, orientations, damage deposits) and departures (graduations, room inspections, return of damage deposits, transfers, etc.) to make sure they go as smoothly as possible.
  • Order meals and supervise staff in managing deliveries on campus.
  • Have welcome packets ready for students / groups (e.g. travel cards, credit cards, etc., if applicable) and distribute them to chaperones or direct students upon arrival.
  • Lead student orientations and graduation ceremonies.
  • Conduct chaperone orientations.
  • Supervise students during the first few days in the cafeteria and make sure they are following rules, etc.
  • Keep petty cash ledger.
  • Complete expense reports (e.g. deliveries with original receipts, excursion bookings, etc.).
  • Executive :

  • Be aware of everything happening on campus.
  • Quality management - ensure we meet and exceed shareholder expectations in levels of service provision.
  • Conduct daily chaperone meetings and ensure the standard program is respected and delivered. Approve or disapprove changes to the excursion and activity program.
  • Maintain clear communication and be on call around the clock to provide prompt responses to inquiries from the main office.
  • Monitor the work that the management team members are doing at all times and assist / cover for them as appropriate.
  • Guide, support, mentor, and supervise the admin team in their work at all times.
  • Chair daily meetings with other Center Management Team and hold them accountable for their performance.
  • Delegate tasks to the other members of the Center Management Team or staff as appropriate.
  • Be accessible at all hours to solve problems and emergencies quickly and efficiently.
  • Additional duties as required by circumstance as the senior executive on site. These could be many and varied in their type.
  • Qualifications and Experience :

  • Native fluency in English.
  • Required management experience in an ESL summer camp, preferably as a Summer Camp Director.
  • Legal authorization to work in the United States.
  • Qualities :

  • Ability to remain calm under pressure and maintain a positive, constructive demeanor in clients’ presence even when problems and emergencies arise.

  • Hours :

    The dynamic nature of the position requires continuous availability to meet the evolving needs of our work environment, with unpredictable and demanding hours without scheduled days off.

    Weekly commitment : 60 hours.
