Job Summary

The Director of Facilities Operations at Yi Hwang Academy of Language Excellence provides strategic leadership and day-to-day oversight of all non-instructional operations, enabling the Principal and teachers to focus on students and families. This role is essential to creating an environment that supports high-quality teaching and learning by managing the operational infrastructure of the school. The Director of Facilities Operations directly manages operational teams (e.g., front office staff, facility management/maintenance, school nurse, school nutrition vendor, and technology support) to ensure that all systems, services, and processes run effectively, safely, and in compliance with regulatory standards

Key Responsibilities

Management and Leadership

· Manages day-to-day operations, including facilities, safety, and vendor relations.

  • Supervise and coach the school’s Operations team, including front office staff, custodial staff, school nurse, and others, ensuring a high standard of performance and professionalism.
  • Oversee or coordinate contracted personnel (e.g., nutrition vendor, transportation providers, technology support) to maintain quality service and timely issue resolution.

· Ensures smooth day-to-day school operations and seamless support for instructional programs, extracurricular activities, and school events.

  • Collaborate closely with the Principal, Business Manager, and school leadership to align operational functions with the school’s mission and goals.

Facilities Management & Maintenance

  • Oversee all aspects of facilities maintenance, including cleanliness, repairs, and improvements.
  • Ensure that school buildings and grounds are safe, functional, and visually appealing.
  • Ensure compliance with local, state, and federal safety and accessibility standards, managing security systems and liaising with emergency services as needed.
  • Plan and manage the facilities budget, coordinating with external contractors for building enhancements and major repairs.

· Supervise janitorial staff or service providers to uphold cleanliness standards in classrooms, restrooms, common areas, and outdoor spaces.

· Establish cleaning and preventative maintenance schedules.

· Monitor supply levels and ensure timely procurement of cleaning and maintenance materials.

Information Technology (IT)

  • Coordinate with internal and external IT support staff to ensure all technology systems—including devices, software, and network infrastructure—function optimally.
  • Oversee troubleshooting and timely resolution of technical issues affecting instruction or operations.
  • Maintain inventory of devices and plan for technology upgrades or replacements.

Inventory Management

· Develop and maintain systems for tracking school inventory, including office supplies, educational materials, and technology.

· Ensure efficient distribution of supplies and timely replenishment.

· Coordinate safe storage and disposal of surplus or outdated items

School Nutrition

  • Serve as the primary point of contact for the school nutrition vendor.
  • Oversee meal service operations to ensure timely delivery and compliance with USDA and state nutrition standards.
  • Oversee the meal application process, including Direct Certification Look-up and verification, and compliance reporting.

Transportation

  • Manage student transportation, including scheduling safe and efficient routes and resolving parent or student concerns.
  • Oversee any vendor contracts for transportation, ensuring compliance with contract terms and safety standards.

Health Services (School Nurse)

  • Supervise the school nurse, ensuring delivery of high-quality student health services and compliance with state mandates.
  • Coordinate with the nurse to manage immunization records, screenings, and health plans for students with medical needs.
  • Support the development of health and wellness policies aligned with school and state guidelines.

School Safety & Security

  • Develop, implement, and maintain emergency response and safety plans.
  • Conduct regular safety drills, audits, and staff training to ensure a culture of readiness and compliance.
  • Oversee campus security systems (e.g., surveillance cameras, access control).
  • Serve as the school’s liaison with emergency services and law enforcement when necessary.

Front Office Supervision

· Directly supervise front office staff to ensure efficient, welcoming, and responsive service to all stakeholders.

· Oversee attendance reporting, communication systems, and general administrative support.

· Ensure front office protocols are aligned with school priorities and policies.

Family and Community Engagement

· Model a culture of exceptional customer service to all families and community members.

· Assist in planning and execution of school-wide events (e.g., LN Y Celebrations, Children’s Day) to ensure a positive experience for students, families, and staff.

Qualifications & Requirements

Education and Experience:

  • Bachelor’s degree in Business Administration, Operations Management, Education Administration, or a related field required; Master’s degree preferred.
  • Minimum of 5 years of experience in operations management, including supervisory responsibilities, preferably in a school setting.
  • Demonstrated expertise in facilities management, school nutrition programs, or school safety.

  • Leadership & Team Management: Proven ability to guide and influence teams toward strategic goals.
  • Analytical & Problem-Solving: Strong capacity to use data and feedback for decision-making.
  • Communication: Excellent interpersonal, written, and verbal communication skills, including the ability to adapt messaging to diverse audiences.
  • Organization & Project Management: Ability to prioritize multiple complex projects and meet deadlines.
  • Technical Proficiency: Comfortable with MS Office, email, and internal data systems; willingness to learn school-specific software.

Work Environment

This role requires on-site presence at Yi Hwang Academy of Language Excellence. Some evening or weekend work may be necessary to handle emergencies, attend school events, or meet project deadlines.
