The Associate Director of Elementary Afterschool Programs will support the Director of Elementary Afterschool Programs in overseeing and managing the day-to-day operations and administration of elementary afterschool programs and summer day camp. Will also support the Director, Camp Twelve Trails as a leadership team member. This work will include administrative and operations-focused tasks.

- Camp Twelve Trails: 44 Henry Kaufmann Rd, Orangeburg, NY 10962 (transportation provided from the YM&YWHA).
Be Me After School Program at the Y:
- Assist the Director of Elementary Afterschool Program with all aspects of administrative and day-to-day program operations, including but not limited to:
- Maintain database and ensure that all required registration, health, and program paperwork is completed and up-to-date for all program participants.
- Create and update rosters for busing, homeroom, activity periods, and late care.
- Create a monthly Newsletter showcasing program highlights, important dates and other Y Programs.
- Manage data tracking systems for enrollment and daily attendance for Elementary Programs in a timely and accurate manner.
- Coordinate communication of absences, special programming, and other updates with families.
- Monitor and maintain all program inventory, and work with the Director of Elementary Afterschool Programs and Managing Director of Youth and Recreation to place supply orders when needed.
- Manage data collection and reporting for CACFP grant.
- Oversee the purchasing of snack and creation of weekly snack menu ○ Conduct all dismissal procedures daily.
- Assist the Director of Elementary Afterschool Programs in ensuring the program is in compliance with DOH SACC requirements and guidelines.
- Assist the Director of Elementary Afterschool Programs with HR paperwork and filing for all elementary afterschool staff hiring, including managing staff training roster.
- Assist the Director of Elementary Afterschool Program with all aspects of programmatic planning, including but not limited to:
- Oversee lesson planning for group leader-led activities and support activity specialist in curriculum development.
- Manage Friday Club including club development, lesson planning, sign-ups, staffing, and rosters.
- Organize and execute special events, including activity planning, material ordering, facilities management, and scheduling.
- Support School’s Out and Half days.
- Assist in planning and implementation of Fall and Spring Showcase.
- Assist in managing daily staffing.
- Help implement Program Quality Assessments co-facilitate bi-weekly staff meetings and monthly training.
- Circulate program spaces to provide proactive and reactive support during Be Me.
- Facilitate transitions during after school.
- Assist Camp Leadership with administrative and day-to-day program operations.
- Maintain database and ensure that all required health forms are up-to-date for all program participants before the program begins.
- Create and update rosters for busing, groups, and extended care.
- Manage daily attendance for campers and staff.
- Monitor and maintain all program inventory and work with Camp Leadership to place supply orders when needed.
- Manage the main office phone line and email during the camp season and ensure messages are relayed to the appropriate team member.
- Full-time, in-person position.
- 40 hours per week, 8-hour workday (not including half an hour unpaid lunch):
- September- June: Monday- Friday 10:00 - 6:30 on-site at the Y.
- June - August: Monday - Friday 8:30 - 5:00 on-site at Camp Twelve Trails; additional hours may be required during the summer season.
- Annual Salary of $55,000.

- Bachelor’s degree.
- Must have excellent time management skills, be flexible, be a team player, be open to feedback, be creative, and have excellent organizational skills.
- Excellent written and verbal communication skills.
- Computer literacy, including experience with Google Workspace applications.
- Willing to work some evenings and Sundays as needed.
- Documentation of U.S. citizenship or eligibility to work in the U.S.
- Must pass the background check, medical tests, fingerprinting through the Department of Health & Department of Education, and other pre-employment requirements.
