The Risk & Safety Coordinator supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. Under the direct supervision of the Vice President of Facilities & Risk Management, the Risk & Safety Coordinator is responsible for operational risk management, compliance, and reporting across the Association. This includes safety training, risk mitigation, and volunteer coordination. As the primary contact for risk-related incidents, the coordinator assesses their severity and ensures appropriate escalation, resolution, and documentation.
Additionally, this role proactively identifies and addresses risks, working collaboratively with staff, volunteers, and industry experts to enhance safety measures and minimize liabilities.

Responsibilities
Risk Management & Compliance – Works to reduce risk and increase compliance by:
- Ensure compliance with corporate quality assurance, workplace safety, and health programs.
- Coordinate safety training works with the HR Coordinator to prepare onboarding and ongoing educational safety trainings.
- Conduct risk assessments and routine safety inspections of YMCA properties; regularly walks through properties to identify and observe potential issues.
- Serve as the primary point of contact for risk-related incidents, ensuring proper escalation, documentation, and resolution.
- Investigate occupational injuries and incidents, recommend corrective actions, and coordinate follow-up processes, documenting findings and recommending corrective actions
- Manage and maintain workers’ compensation claims, including documentation and coordination with insurance providers.
- Advises management on new company policies to ensure they align with local and federal government mandates.
- Partner with the Finance Department to ensure that safety equipment (e.g., PPE, first aid kits, eye wash stations) is adequately stocked and maintained. Creates, modifies, and enforces policies to comply with regulations.
- Oversees and ensures an efficient records maintenance system for workers' compensation claims and related information, data, and activities in collaboration with appropriate vendors.
- Manage all aspects of each claim, including informal hearings and small claims litigation, and maintain a high level of productivity, confidentiality and customer service.
- Monitor and enforce compliance with OSHA regulations and YMCA safety policies. Makes necessary changes to the program such as increasing safety measures when needed.
- Analyses accident/incident statistics, identifying trends and suggesting improvement plans.
- Provide technical support to Senior Management on any safety-related subjects.
- Liaises with client partners, insurance providers, and medical professionals to ensure prompt and appropriate response to workplace injuries or illnesses.
- Facilitates workers' compensation claims process for employees, providing support and guidance as needed.
- Reviews and updates Risk Procedure Manuals to ensure accuracy.
- Maintain confidentiality and ensure secure handling of all risk-related records and reports.
- Work collaboratively with Branch Operations, HR, Finance, IT, and other departments to support a culture of safety. Effectively identifies and escalates problems to the Vice President of Facilities and Risk Management and/or Association Leadership as they occur and takes appropriate steps toward resolution.
Training & Safety Programs
- Coordinates and implements CPR, First Aid, and CPR classes and trainer recruitment/education for the association.
- Develop and implement emergency drills in collaboration with YMCA branches.
- Oversee, and coordinate driver and vehicle safety programs, including compliance tracking and training initiatives.
- Assists with the development and implementation of other YMCA safety training programs ensuring compliance with government regulations and YMCA policy.
Data Analyses & Reporting
- Maintain and analyze risk-related data to identify trends and areas requiring intervention.
- Ensure accurate and timely data entry into risk management systems and reports, responsible for the entry, maintenance, and integrity of data within various forms, systems, and databases.
- Conduct audits, recommend solutions, and assist in implementing corrective actions.
- Analyze submitted data to identify areas of risk that need special attention or training to eliminate risk.
Committee & Compliance Work
- Serve as a member of the Child Protection Team, supporting child safety initiatives.
- Participates in Association Advancing Our Cause (AOC) meetings, as needed, to enhance program safety.
- Lead efforts to maintain YMCA-USA Membership Qualification compliance, particularly regarding Child Safety and Aquatics Safety standards.
- Proactively identifies areas to reduce the Y’s exposure to risk and potential insurance claims.
Volunteer Process Management
- Oversee volunteer onboarding and compliance, ensuring all volunteers meet YMCA requirements.
- Manage the Volunteer Matters platform, ensuring appropriate tracking and reporting of volunteer activities.
- Provide guidance and training to volunteers as needed.
Other Expectations
- Adhere to policies related to boundaries with consumers.
- Attend/complete required abuse risk management training
- Adhere to procedures related to managing high-risk activities and supervising consumers.
- Follow mandated reporting requirements.
- Adhere to job specific abuse risk management responsibilities.
- Maintenance Employees-ensure unused rooms and closets remain locked; routinely monitor high-risk locations (locker-rooms and bathrooms), etc.
- Front Desk Personnel- ensure consumers are properly signed in and out, ensure only authorized adults are allowed in the facility, etc.
Qualifications
- Bachelor's degree and 3 years of related experience in safety, risk management or building maintenance; fire, safety, building codes; and equipment, tools, supplies, chemicals and materials (including hazardous materials) used in the construction, maintenance, and repair of buildings.
- Equivalency of degree and experience will be considered.
- Risk Management or Abuse Prevention experience preferred.
- Experience working in a social services agency and/or youth serving organization environment preferred.
- Understanding of federal, state and city safety requirements, including OSHA.
- Ability to interpret complex health and safety regulations and translate them into easily digestible, understandable, policies and procedures for staff.
- Effective oral and written communication skills. Ability to communicate in various venues (public speaking and presentations).
- Experience motivating, influencing, and leading others to achieve objectives is required.
- Excellent group work and facilitation skills required.
- Must possess strong attention to detail, analytical, and problem-solving abilities.
- Strong leadership skills, ability to take initiative and respond to a variety of situations and manage several tasks and projects at the same time.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community; track record of building authentic, constructive relationships with others.
- Proficiency with computers and systems in some or all the following areas is a plus: Volunteer Matters, Risk Management Systems, and the Microsoft Suite.
- Must be willing to work a flexible schedule, which may include weekends and holidays as needed.
- Must be willing to work an on-call schedule as required.
