What are the responsibilities and job description for the Human Resource Admin. position at YMCA of Memphis & the Mid-South?
PURPOSE OF POSITION:
This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. The HR Admin will provide administrative support to the Human Resources department, assisting with day to day operations.
ESSENTIAL FUNCTIONS:
- Monitor the HR department’s shared inbox, ensuring timely resolution to all queries.
- Assist employees with resetting their passwords for HR systems and applications.
- Handle HR-related cases within Salesforce, ensuring proper documentation and resolution of employee inquiries, requests, or issues.
- Conduct annual MVR checks for employees and assist with random MVRs as required by company policy. Ensure compliance with driving requirements for employees in positions involving vehicle use.
- Assist with Employee Giving campaign ensuring accurate entry into the system and reporting of same.
- Process employee changes including updates to work location, adding or changing assignments, updating primary job roles, and handling compensation requests. Ensure accurate documentation and communication of these changes.
- Assist with bulk terminations, ensuring all relevant documentation is processed and employee records are updated in a timely and efficient manner.
- Track and monitor annual compliance training and certifications, ensuring employees complete required courses. Communicate upcoming deadlines and follow up as necessary.
- Provide support for employees with payroll and timekeeping systems, ensuring accurate reporting and resolution.
- Support auditing processes by maintaining organized records and providing necessary documentation for review.
- Perform various HR administrative tasks such as data entry, filing, generating reports, and supporting the HR department in day-to-day activities.

QUALIFICATIONS, KNOWLEDGE, SKILLS & ABILITIES:
1. 1-2 years of experience in an administrative HR role.
2. Excellent written and verbal communication skills.
3. Strong organizational skills and the ability to multitask.
4. Must be able to maintain confidentiality of highly sensitive information.
5. Proficiency in Microsoft Office Suite.
6. Knowledge of HR software and tools is a plus (e.g., HRIS systems, Time & Attendance).
WORK SCHEDULE:
The schedule for this part-time position may require early morning, afternoon, evening
responsibilities depending on the business need (25 hours per week).
