Description
The Program Coordinator assists the Program Director / Senior Program Director / Executive Director in overseeing the development and operations of YMCA New Horizons and Tailored Day Services programs.
Assists in the supervision of designated departments in the areas of fiscal responsibility, health and safety, staff development and supervision, program quality, operational effectiveness, volunteer and community development, and fundraising.
Assists in providing leadership to the department, branch and association in the areas of collaboration, mission advancement, communication, decision making, and project management.
RESPONSIBILITIES / DUTIES :
- Assists in financial development including budgeting and meeting growth expectations.
- Assists in managing financial controls including registration processing, implementation of accounting best practices, administration of grants and contracts, working with vendors, management of accounts receivable and payable, processing scholarships, and control of department wages.
- Assists in the development and implementation of marketing plans for department growth (especially grass roots). Works with the Marketing Department on collateral development and brand maintenance.
- Ensures compliance with established procedures, policies and standards related to health and safety, exercising independent judgment to do more than merely apply techniques and procedures.
Completes risk assessments and correct deficiencies. Reports incidents promptly.
- Customarily assists in regularly directing the work of a minimum of 2 FTE staff (or at least 4 part-time staff) in a staff team, including hiring, scheduling, enforcement of expectations, compliance with association standards, and coordination with Human resources, regular communication, and modeling of best practices.
- Responsible for providing growth and development opportunities for a staff team including goal setting, annual evaluation, coaching, and meeting / developing training plans.
- Meets program quality expectations outlined in association procedures, policies and standards for the department as evident on surveys, observations, and audits, exercising independent judgment to do more than merely apply techniques and procedures.
This includes character education.
- Assists in the management of programs, including developing program proposals, implementation of offerings, evaluating data, and communication of results.
- Assists with the annual campaign team by meeting volunteer and financial goals. Additionally, support branch annual fundraising events.
- Provides general oversight to the work environment including serving as a manager on duty, enforcing expectations, cross marketing, and working with peers on goals.
- Works as part of the association resource team to grow business and improve quality.
- Models YMCA values while working with staff, volunteers, members, and community partners.
- Fosters personal growth through self-development and improving functional expertise.
- Carries out all responsibilities and communications in an honest, ethical, and professional manner.
- Assists in designing and implementing innovative programs based upon trends and best practices.
- Performs other duties as assigned.
- The Program Coordinator will spend the vast preponderance of working time on executive, administrative and professional functions, delegating non-administrative and non-executive duties to staff unless performing such duties furthers the General Purpose described above.
- Assist in development, organization and implementation of diverse recreation events and innovative programming for developmentally disabled adults and teens.
- In coordination with staff, secures and schedules event venues, locations, staffing, and travel arrangements.
- In coordination with staff, conducts pre-enrollment intake with each member and caregiver to assess for member's ability to successfully participate in programming (Health, behavior, social skills, etc.)
- Provides member's caregiver with progress on event participation, health & safety, and social interactions.
- Assists maintaining of all individual contracts for New Horizons program (coordination with Regional Center, agency billing, and private pay families), exercising independent judgment to do more than merely apply techniques and procedures.
- Assists in developing and maintaining positive relationships / partnerships with community organizations for program (Regional Center, Department of Rehabilitation, local cities, etc.)
- Assists in developing and implementing parent / caregiver / staff resources and workshops related to adults with special needs.
- Attendance and active participation in community meetings, events, and conferences related to special needs adults.
- Obtains and maintains a Class B Driver's License for transporting members to program events, maintain program vehicles through vehicle inspections, scheduling necessary vehicle maintenance, maintain all records regarding vehicles and program drivers.
ADDITIONAL SPECIALIZED DUTIES BY PROGRAM AREA :
YCS-New Horizons

YCS-Tailored Day Services
the Tailored Day Services Coordinator assists in developing, organizing, and implementing Tailored Day Services for adults with special needs in the community who are pursuing high education, such as junior college or college.
The role involves providing one-on-one special needs staffing, conducting staff, parent and community workshops, and ensuring individualized programming.
- Provides assistance in overall management of Tailored Day Services including behavior assessments and individualized behavior goals for participants including coordination with caregivers, Regional Center (if applicable), recreational program providers and staff scheduling and development.
- Provide assistance to provider and staff regarding adults with special needs / challenging behavior through direct observation and assessment, provision of effective behavior, tools and resources, development and implementation of general and specific special needs topics.
- Provides caregiver and Regional Center (if applicable) with progress on individual educational goals.
- Guide and support members schedule, time management and assignment tracking.
- Obtains and maintains a Class B Driver's License for transporting members to campus, maintain program vehicles through vehicle inspections, scheduling necessary vehicle maintenance, maintain all records regarding vehicles and program drivers.
Qualifications
MINIMUM QUALIFICATIONS : The following are the minimum qualifications which an individual needs in order to successfully perform the duties and responsibilities of this position.
Please note that the minimum qualifications may vary based upon the department size and / or geographic location.
Education & Certifications : First Aid and CPR certifications required within the first 60 days of employment.
Additional Child Care Specific Qualifications : 2-4 year college degree in related field. Years of experience may offset the degree requirement.
Experience & Background : Must be 21 years of age. 3 years of related experience and supervision required (in addition to the education off-set).
Additional years of experience may offset some of the educational requirement. Experience working with diverse populations.
