What are the responsibilities and job description for the Admin Asst HR-Seasonal-Part Time-Camp Sea Gull and Camp Seafarer position at YMCA of the Triangle?
This position would work part time (up to 29 hours a week), from mid-February through the end of August.
POSITION SUMMARY:
The Human Resources Representative serves on the Camp Seafarer/Sea Gull Human Resources team. They are responsible for working closely with the Director of HR Administration and the HR Specialist to provide camp leadership support in key human resource processes to include, recruitment, hiring, onboarding and as needed, payroll. They will manage these functions in accordance with the stated mission, goals, and policies established by the Board of Directors, governing committees, and administrative staff of the YMCA of the Triangle Area.
ESSENTIAL FUNCTIONS:
- In cooperation with camp leadership and Human Resources team, works to understand needed position postings, timeframes, number of applicants and hiring team.
- Provides support throughout the recruitment process as directed by the Director of HR Administration to ensure efficient hiring.
- Develops and maintains collaborative relationships with community organizations to help drive part-time recruitment.
- Creates, monitors and archives required folders for staff members at both camps.
- In conjunction with Camp HR staff, assists in the hiring process and onboarding of new employees, to include sending official offer letters, ordering background checks and processing of I-9 Forms in timely fashion.
- Aids to ensure all references are obtained and all steps of the background check process are completed by staff in advance of their report date.
- Assists to ensure hiring managers provide all interview notes and reference check responses.
- Assists HR staff with uploading interview notes, references, certifications, contracts and pay schedules for all staff.
- Participates in staff intake on arrival dates for seasonal staff.
- Assists to monitor completion of New Hire Checklists and completion of Redwoods trainings and COVID-19 compliance training.
- Assists with contract changes and pay schedule updates for seasonal staff as directed by supervisor, and as needed, enters pay into the Payroll System.
- Maintains professional and technical knowledge by attending educational workshops, participating in professional associations, ARC HR training sessions and/or meetings and establishing network with other Camp and/or Branch HR Staff.
- Models relationship-building skills in all interactions. Maintains regular, clear, and concise communication within area of responsibility.
- Informs ARC HR immediately of awareness of need for leave or current leave that may need to be designated as FMLA.
- Other duties as assigned by supervisor.
QUALIFICATIONS:
- High School GED required and/or 2-4 years of experience in Human Resources or general office procedures are desired.
- Strong computer skills, including Word, Excel and HRIS systems.
- Excellent oral and written communication skills.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
- Ability to communicate procedures in a positive and professional manner to individuals and/or large groups across all levels of employees.
- Exceptional organizational and time management skills, and the initiative to be a self-starter with minimal direction and supervision.
- Must be dependable, efficient and maintain a high level of confidentiality.
- Multi-lingual desired but not required.
