POSITION SUMMARY:
The Health Center Administrator is responsible for ensuring high customer service relating to camper Health Center needs year around and collaborating to support the Director of Health Services. Specific duties include communicating with parents via email or phone call, as well as managing and organizing all documents received related to camper forms to ensure forms are complete. This position will be based out of their site’s Health Center during the summer season. They are responsible for managing these functions in accordance with the stated mission, goals, and policies established by the administrative staff, governing committees, and Board of Directors of the YMCA.
ESSENTIAL FUNCTIONS:
- Models relationship-building skills in all interactions and maintains regular, clear, and concise communication within area of responsibility.

Oversee the process of collecting, creating and maintaining camper medical files:
- Reviews camper health forms with a focus on determining if any sections are missing or incomplete.
- Follow up with parents if additional information is needed for complete documents.
- Upon completion of camper's health forms, digitally delivers to nursing staff for medical review.
- Creates health form charts for the Health Centers once the Health Form has passed medical review and deemed “complete”.
- Responsible for the end of summer storage and achieving of all camper and staff related medical records.
- During the summer months, administrative functions in the health center, facilitating parent communication and collaborating with the Director of Health Services and the nursing team.
- Manage outbound and inbound communication during summer months in Health Center with a high focus on accurate and timely customer service, in coordination with Head Nurse and Director of Health Services. Document conversations as aligned with best practices.
- Leads and supports seasonal health center specialists.
- Work a variety of weekdays, evening, and weekend shifts during the summer season

Support the Director of Health Services to maintain compliance expectations, to manage inventory and purchase medical supplies, and to support staffing of summer and extended season nurses.
- Ensures that all medical charges by campers and staff are entered according to best business practices.
- Review, analyze and create post summer medical and compliance reports with support from the Director of Health Services.
- Collaborate with the Director of Health Services to manage inventory, purchase supplies, and maintain a program ready health center year-round.
- Support Director of Camper Life & Director of Health Services during the post-summer season with parental communications, pulling records as needed.
- Assist with Sunfish Camper registration
- Support administrative functions in the fall and winter seasons.
- Responsible for supporting the year around data entry and processing of all records concerning camper registrations, as well as provide assistance with account maintenance and processing changes, recording, organizing and filing camper forms.
- Other duties as assigned.
QUALIFICATIONS:
- High School Diploma/GED required.
- Excellent oral and written communication skills and demonstrated ability to interact effectively with customers via telephone and email.
- Demonstrated organizational and problem-solving skills, and ability to accurately resolve issues in a fast paced, changing environment.
- Proficiency in Microsoft Office (Word, Excel and Outlook).
- Strong computer skills and a working knowledge of CRM database software systems.
- Experience with administrative and accounting procedures.
- Familiarity with databases and spreadsheets like Microsoft Excel.
- Demonstrated understanding of the health care environment.
- Ability to define priorities and to assign resources in pursuit of short- and long-term goals.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
- Multi-lingual desired but not required.
