What are the responsibilities and job description for the HR / FINANCE DEPT.ASSISTANT position at York Academy Regional Charter School?
PURPOSE
- The HR/Finance Department Assistant will perform administrative task services to support effective and efficient operations of the organization's Human Resource and Finance Office. Additionally, the HR/Finance Dept. Assistant will create purchase orders and coordinate the purchase of supplies, materials, equipment, and services in order to support and enhance the operations of the York Academy school system.
Job Responsibilities
Human Resources Support
Talent Acquisition:
- Develop and implement effective recruiting strategies to attract top talent.
- Utilize various sourcing channels, including job boards, social media, networking events, referrals, and partnerships with educational institutions.
- Build and maintain a pipeline of qualified candidates for current and future openings.
2. Candidate Screening & Selection:
- Review resumes and applications to identify qualified candidates.
- Conduct initial phone screenings to evaluate skills, experience, and cultural fit.
- Schedule and coordinate interviews with hiring managers and other stakeholders.
- Assist in the development and administration of pre-employment assessments.
3. Relationship Management:
- Build strong relationships with hiring managers to understand job requirements and team dynamics.
- Provide regular updates to hiring managers on recruitment progress.
- Perform periodic audits of HR files and records to confirm all required clearances and documents are collected and properly filed.
- Provide clerical support to the HR department.
- Assist with new hire orientation and Onboarding.
Event Coordination
- Assist in planning and executing special events such as open house and recruiting events.
Finance, Purchasing and Procurement
- Purchase supplies, materials, equipment, and services based on requester specifications.
- Contact suppliers/vendors to obtain pricing, determine availability, evaluate quotes, and recommend actions.
- Develop and prepare purchase orders and contracts; process paperwork, verify receipts, and resolve discrepancies related to price, delivery, or condition of goods.
- Order and reorder stocked items, supplies, and materials according to established minimums/quantities.
- Research and develop new or potential sources for supplies, materials, and services.
- Attend professional and industry trade shows, conferences, and workshops.
General Duties
- Support York Academy's school goals, objectives, and mission statement.
- Perform other related duties as assigned by the Human Resources Manager or Business Manager.
Education & Certifications:
- Associate's degree in related field preferred.
- Prior related office experience required.
- Able to obtain all Pennsylvania Clearances required for school employment (Act 24, Act 34, Act 114, Act 151, Act 168 and Physical Exam and TB Test)
TECHNICAL COMPETENCIES AND SKILLS:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn payroll management, human resource information systems (HRIS), and similar computer applications.
- Proficient with or the ability to quickly learn software programs for spreadsheets, ordering and correspondence.
Ability to:
- Plan and schedule buying activities consistent with both economy and service
- Make sound judgements as to quality and quantity of supplies purchased in relation to use
- Prepare clear and concise specifications
- Buy effectively considering price, service, quality, and delivery
- Perform accurate mathematical functions
- Establish and maintain working relationships with vendors and the general public
Knowledge of:
- Principles and practices of governmental purchasing law and procedures; applicable products and services; billing and contract practices
- Types and sources of material, supplies, services, and information on economic conditions, industry trends, commodity pricing methods, discounts, and price differentials
- Terminology used in the ordering of supplies and equipment commonly used with the York Academy school system
