Primary Duties and Responsibilities :
Performs general secretarial duties to relieve supervisor of office duties and routines, applying knowledge of specific office practices and routines.
Organize and plan work. Complete assignments on own initiative based on brief instructions.
Input the building master schedule into the computer and verify the accuracy of the information.
Coordinate and manage, along with the building principal / supervisor, the purchase order process.
Coordinate and manage, along with the building principal / supervisor, the office / building budget process.
Open and scan mail and attach pertinent file data. Compose routine letters and memoranda for supervisor's signature on own initiative or from general verbal instructions.
Distribute / collect employee time cards and maintain twelve month clerical employees' vacation schedule and personal days / attendance records.
Arrange for substitute coverage for absent staff members. Contact instructional staff and arrange for individual class coverage when substitutes are unavailable.
Receive visitors and direct them to proper personnel.
Type a variety or letters and reports from written copy and prepare special reports pertinent to Supervisor's responsibilities as directed.
Accumulate data and maintain accurate records and files of confidential and other data.
Maintain adequate stock of office supplies.
Improve existing office methods and procedures, forms and filing systems.
Answer telephones, receive and transmit messages, answer questions and transfer calls as required, operate electronic entrance device.
Instruct and guide new or lesser-experienced clerical and personnel.
Operate a variety of office equipment such as computer, typewriter, copier and fax equipment.
Manage student attendance, along with an administrator, which includes, but is not limited to communicating with the district attendance officers, and sending first legal notices and citations. (Elementary School)
Assist with the administration of medications in as per the guidance of the school nurse. (Elementary School / Alternative School)
Registration of all new or transferred students (Elementary school)
Coordinates Kindergarten Registration each spring. (Elementary school)
