Administrative Support Instruction
Administrative Support (Instruction)
Reports To: Director of Secondary Programs
FLSA Status: Non-exempt Support
Terms of Employment:
Twelve months/240 days; salary paid on Administrative Support scale and work year to be established by the Board
Job Summary:
To assure the smooth and efficient operation of the instruction department and provide support as assigned by the District Administrator.
Qualifications:
- High school diploma; job related experience required
- Excellent verbal and written communication skills
- Excellent knowledge and proficient use of computer applications
- Knowledge and use of common office equipment and machines
- Excellent interpersonal skills
Essential Duties:
- Performs specialized functions that support the individual responsibilities of the assigned District Administrator(s) and team.
- Compiles data from a variety of sources to comply with financial, legal, and/or administrative requirements.
- Prepares written materials (e.g., reports, memos, letters) to document activities, provide written references, and convey information.
- Completes necessary reports and documents as required by the district, state, and federal agencies.
- Processes documents and materials to disseminate information to appropriate parties.
- Maintains documents, files, and records to provide up-to-date reference and audit trail for compliance.
- Places, receives and directs telephone calls, scanned documents, and electronic (e-mail) messages appropriately.
- Responds to inquiries to resolve problems, provide information, and/or refer to appropriate personnel.
- Coordinates and schedules a variety of programs/and or activities (e.g., meetings, conferences, travel arrangements, interviews) to ensure availability of facilities and/or equipment and deliver services in conformance to established guidelines.
- Coordinates various program requirements with K – 12 schools as outlined by partnering agencies (Gifted Programs, career opportunities, internal testing programs)
- Assists with monitoring program requirements under the direction of the district administrator(s)
- Participates in meetings, workshops, and seminars as assigned to convey and gather information.
- Performs bookkeeping tasks associated with the specific position.
- Orders and maintains supplies as needed which includes transporting supplies to schools and the district office.
- Performs other related duties, as assigned, to ensure the efficient and effective functioning of the department.

Physical Requirements:
Requires sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations.
Working Conditions:
- Generally, the job requires 80% sitting, 10% walking, and 10% standing.
- Requires fine finger dexterity to use office equipment, office technology, and maintain accurate filing systems.
- Effectively coordinate a variety of difficult, technical administrative functions at a level requiring extensive independent decision-making within established rules, policies, and procedures
- Must regularly lift and/or move objects up to 10 pounds and occasionally lift and/or move objects up to 50 pounds.
- May experience constant interruptions, inflexible deadlines, and changes to normal routines.
- May require navigation of the immediate area to and from school locations to assist with gathering and distributing materials and/or preparation of meetings/events.

The performance of this job will be evaluated in accordance with provisions of the Board’s policy on Evaluation of Support Service Personnel.
