TITLE: Administrative Assistant I, Attendance Clerk
EMPLOYMENT TERMS: 1.0 FTE/9-month position
SALARY CLASSIFICATION: Classified
GENERAL STATEMENT of RESPONSIBILITIES:
The Administrative Assistant I, Attendance Clerk will be responsible for providing a positive relationship with students and parents. Responsibilities will include maintaining a high level of confidentiality, assuring correctness of attendance reporting, and assuring smooth and efficient operation of the school office.
PRINCIPLE DUTIES:
- General office coverage; answers phones and greets public.
- Communicates well with parents regarding inquiries and provides information related to school attendance policies and procedures.
- Generates correspondance, memos, and reports as required.
- Maintains accurate records and confidential files.
- Provides for punctual and efficient routing of messages.
- Provides daily attendance reports as required.
- Enters group attendance/absences (i.e. field trips, sports).
- Assists parents, administrators, and teachers with attendance records.
- Maintains attendance system; verifies absences.
- Processes absence reports
- Keeps current as to attendance policies and procedures.
- Updates attendance verification rosters.
- Contacts parents, by phone or mail, regarding student absences.
- Verifies and maintains students on attendance contracts.
- Performs basic office procedures and other related tasks as assigned by supervisor.
- Performs other related duties as assigned.
QUALIFICATIONS:
- Must possess high school diploma or equivalent.
- Must possess extensive knowledge of attendance and enrollment policies and regulations; application of procedures to ensure maximum budget capacity due to attendance reporting.
- Must possess a minimum of one-year general clerical experience, preferably in school setting.
- Must possess a thorough knowledge in the use of standard office machines and computers.
- Must possess good communication skills and have ability to communicate and work well with staff, students, and parents.
- Bilingual/biliterate in Spanish and English preferred.
OCCUPATIONAL CONDITION:
Low risk - Work is routinely performed in indoor environments, including exposure to noise and being on your feet for extended periods of time. May require standing in inclement weather including summer heat.

The Administrative Assistant I, Attendance Clerk reports directly to the Assistant Principal(s) on site.
