Your Environmental Services aka YES LABS is a small, environmental laboratory located in Mishawaka, IN testing for real estate transactions and business compliance for water, radon and mold. This position is for someone who enjoys being ultra focused on data entry, checklists and puzzle solving to meet customer needs. This position requires a high attention to detail and is more for the nerd vs the free spirited personality.
Job Description
- The Appointment Scheduler serves as the main point of contact for the laboratory
- Establishes a customer friendly environment to facilitate communication between clients and the laboratory
- Primary areas of focus include inbound orders, outbound appointment scheduling, customer questions and pricing information, and daily problem solving to ensure clients expectations and needs are met including client deadlines, from start to finish
- Maintains rapport with lab staff, realtor clients, homeowners, business clients and coworkers ensuring satisfaction
- Handles a high volume of customer phone calls, email orders, walk-in laboratory customers, takes payments and generates invoices for all laboratory orders
- Coordinates appointments by routing efficiency for multiple field technicians, required sample pick up times as well as authorization from relators and homeowners for entry to properties
- Ensures appointment details with important notes for field technicians with testing and access instructions making sure everything is in place prior to appointment times to eliminate unnecessary return calls on the part of the field technicians, clients and lab staff
- Responsible for re-scheduling appointments when necessary and communicating reschedules to all parties involved
- Responds to calls, emails, complaints and queries that clients might have about orders
- Responsible for informing field technicians of instructions to coordinate special equipment needs when necessary
- Responsible for billing and collecting payment for orders requiring payment up front
- Supports company departmental quality assurance initiatives and goals
- Supports departments and corporate strategic plans and ensures successful implementation
- Responsible for backing up other employees, mainly walk-in front counter, during lunch hours or vacation times, which may include changing stations or assignments
Candidate must be detailed oriented, able to handle a high volume of orders with a friendly, servant attitude and work by communicating in a team environment, yet work independently. Experience with databases, QuickBooks, google calendar and maps is required. This is an environment where interruptions are common so the ability to successfully multi-task is essential. Knowledge of real estate transactions or laboratory background is helpful but not necessary. Willing to train a dedicated candidate.
