We are seeking an experienced dedicated and detail-oriented Legal Assistant to join our dynamic legal team. The ideal candidate will have at least 2 years expereine in Nursing Home Negligence Law. This role requires strong organizational skills, the ability to manage multiple tasks, and a commitment to maintaining confidentiality and professionalism in all interactions.
Job Description: NH Legal Assistant
Initial Client Contact & Intake Sheet
Complete intake sheet and obtain all initial documents (i.e. driver’s license, power of attorney, death certificate, injury photos, will, etc.) from client upon matter assignment; scheduling/calendaring initial client intro telephone call with attorney
Initial Letters to Client & Facility
Prepare and send initial letters (client letter, client lien rights, request for facility insurance disclosure, thank to referral attorney, etc.) – original and final PDF should be saved in Litify
Medical Records & Billing Requests (and follow-ups, requests for updates, etc.)
Request facility chart and bills, hospital records and bills, provider records and bills, autopsy report, etc.; track using Litify Requests record object, along with continuous follow-up and notation in Litify, as needed; requests for updated records/bills, as needed
Facility Investigation Requests
Send HRS/DCF, AHCA & FOI/855A to CMS, track using Litify Requests record object and update with detailed notes in Litify
Follow-up on Expert Report and any addendums
Send follow-ups to experts, as needed, saving any email/correspondence to Litify and create notes
Calendaring Deadlines & Reminders
Enter all deadlines and reminders in Litify & Outlook (SOL, CMO, Trial, Def Answers, all party Discovery responses, NOI pre-suit deadlines, pre-suit discovery, etc.)
Scheduling, Calendaring and Confirming Events
Client conferences, attorney conferences, team meetings, unsworn statements, depositions, mediations, expert conferences, travel, case management conference, hearings, scheduling conference, arbitration, trial, exhibit exchange, etc.; securing all necessary attendees, i.e.: court reporter, translator, etc.; creating or updating Outlook entries with appropriate formatting, confirming any scheduled events the morning of the business day prior with all attendees; providing attorney with documents in anticipation of scheduled events
Turndown Letters and tracking
Draft and mail turndown letters via CMRRR, calendar follow-ups and advise Paralegal file is ready to be closed and costs written off when green card is returned
Serving Notice of Intent and tracking
Scan, copy and mail finalized NOI to all Defendants via CMRRR, calendar follow-ups and track service dates using Service record link; Update Litify with NOI service date
Establish Probate with Probate attorney
Communicate with client to complete Probate intake form, send initial probate letter to client, and facilitate communication between client and Probate attorney
Obtain family videos and photographs prior to nursing home admission & illness/death, of injuries, etc.
Send courtesy copies of documents to Client, Experts, Judges, Opposing Counsel, etc.
NOI, Complaint, Arbitration Notice, Trial Notice, Motions, Oppositions, Proposal for Settlement, etc.
Follow-up on Issued Summonses and service of process (while scheduling deadlines & reminders)
Draft & File Standard Pleadings
(Notices of Filing, Deposition, Mediation, Request for Copies, Notice for Trial, Witness subpoenas, Voluntary Dismissal, etc.)
Invoice Check Requests and Processing Online Payments
Saving invoices to Litify & submit to management/finance for check requests using appropriate formatting; saving invoices & receipts to Litify for any payments processed online, providing copies to management for logging in Litify; mail checks with copy of invoice to vendors while scanning both together into Litify, pulling and providing monthly e-portal expenses reports to management, etc.
Maintain file & Litify organized
Scanning and distributing team’s incoming mail, properly naming documents, saving documents to proper folders, downloading and saving E-portal emails and documents, saving and appropriately renaming faxes, filling in all fields in Litify, utilizing Litify record objects to track record requests, scheduling items, medical bills, scanning and saving all outgoing mail, updating Litify/Outlook as necessary, etc.
Call Handling
Fielding incoming calls and distributing to team as needed, inputting detailed notes after each case related incoming/outgoing call, outgoing calls as needed per attorney or standard legal assistant tasks
Trial Preparation
Assist with drafting/serving witness subpoenas, scheduling trial team meetings, scheduling client or expert meetings, calendaring all pertinent events, deadlines and reminders, sending standard letters to client, doctors, experts, and other witnesses; securing court reporter/translator/videographer, exhibit production, AV technicians, etc.
Settlement/File Closing Assistance
Schedule release deadline, check deadline, and reminders, advise all vendors (court reporter, mediator, arbitrator, experts) case is settled and request final bill, confirm all bills from vendors are received and paid, send approved release to client to sign, send signed release to defense counsel, mail disbursement checks to client, vendors, providers, referral attorney, Calendar DCD deadline, mail DCD check(s) and advise Paralegal case is ready to be closedts' lives positively.
