MIS Data Coordinator:
Under the direction of the Program Manager, performs technical, data collection, entry and audits data for the program.
Minimum Qualifications:
AA degree in computer science, business, or closely related field of study plus four years’ experience working with databases and or computer systems/programs or any combination of education and experience to equal six (6) years.
- Knowledge of PC operating systems, including Microsoft Office.
- Ability to work well with a team.
- Ability to work non-traditional hours.
- Must have good written and oral communication skills.
- Must be able to use discretion in all facets of work-related situations.
- Ability to perform all works rapidly and accurately, meeting all deadlines when applicable.
- Must be able to communicate technical subject matter to end-users in a non-technical manner. Ability to work under time constraints and other demands.
- Ability to develop methods for intake and prioritization of troubleshooting requests.
- Ability to establish and maintain effective working relationships.
Job Characteristics/Physical Demands:
- This is a professional position which requires organizational and communication skills, as well as judgment, tact and diplomacy in contacts with YDI employees, community residents, parents and local government agencies.
- Strict adherence is required to all regulations concerning confidentiality.
- Bending, stooping, and/or lifting heavy objects (with or without assistance) is required on occasion during the process of troubleshooting individual workstations.
- Background investigation to include fingerprinting will be required. Physical is required upon hire, and may be required intermittently.
- Frequent travel is required by employee. A valid driver’s license, clean driving record, and proof of satisfactory car insurance is required.

DUTIES & RESPONSIBILITIES (Not Inclusive):
· Conduct initial entry of all WIOA participant files into WCOS (state database) that includes the application, Individual Employment Plan (IEP), OAS, assessments, initial activities, and case notes and upload all eligibility documentation and forms required by the Region.
· Ensure quality assurance of all WIOA participant files in regards to initial entry into WCOS.
· Assist WIOA staff with data entry on participant data, services, and outcomes when needed.
· Develop and maintain data entry manual for training purposes.
· Provide WCOS training to all new WIOA staff documenting completion and knowledge.
· Provide ongoing training for WIOA staff in WCOS including changes or upgrades to the system.
· Provide quality assurance of all technical and/or administrative requirements (i.e. uploading of timesheets, checks, work packets, forms, plans, certificates, assessments, etc.) in WCOS on monthly basis to ensure proper entry and maintenance in system by all WIOA staff.
· Assist in internal audits or preparation for audits by Administrative Entity or State.
· Coordinate data corrections as needed in WCOS in response to Desk Reviews or audits by the AE or state.
· Responsible for the oversight of program compliance with HIPAA regulations to include attending training and providing training to site specific staff on these regulations.
· Assist with data entry and maintenance of tracking systems as developed by Management, i.e. Measureable Skills gain tracker, W9 tracker, inventory tracker, etc.
· Coordinate services and troubleshooting issues with the YDI IT contractor and other IT providers as necessary.
· Generate reports from WCOS on a monthly basis related to predictive warnings, i.e. system closures, follow-ups, selective services, etc. to share with staff.
· Generates predictive reports from FutureWorks or WCOS on a monthly basis on all performance measures for review by QA and Management.
· Conducts analysis of data for reporting, grant writing and quality assurance purposes.
· Participates in writing of reports and documentation of data methods and procedures.
· Assist the Vice President, Program Managers and the IT department in evaluating hardware, software, and new technology to make purchase recommendations for the division.
· Participate in the Peer Model with staff in the same program and position to exchange best practices and provide information, support and mentoring.
· Complete 18 hours of training each program year related to position for continued knowledge and professional development.
· Meet monthly benchmarks on established performance plan developed by management that is aligned to contract goals and outcomes.
· Enter monthly outcomes on performance plan by due date and participate in reviews of the plan with Manager.
· Other duties as assigned.
