Front Desk Coordinator/Medical ASSISTANT
CONTRACTUAL RESPONSIBILITIES
Under general supervision, coordinates the processing of clinical charts to different departments and ensures the proper filing of clients’ information.
PROCESSING DUTIES
1. Record Keeping: Indexing/Filing Clients’ clinical and pertinent documentation in file
2. Maintains Patient files.
3. Retrieves patient files for scheduled psychiatric and outpatient, in-office appointments
4. Maintain clinical logs when charts are checked out
5. Ensures strict confidentiality by following HIPPA standards and Agency’s policies
6. Ensures proper consent forms are filled out and signed to release information.
7. Looks up information in the web-based documentation program.
8. Follows confidentiality standards and regulations
9. Follows safety guidelines.
10. Attends Job fair and community events, visits doctor’s offices, hospital, community health departments to speak about the Agency.
11. Creates and maintains clients files.
CUSTOMER SERVICE DUTIES
1. Responds to inquiries from physicians, staff, outside agencies, and individuals regarding the proper processing and release of clinical information
2. Facilitates clinical charts for peer reviews and audits.
3. Ensures the department is always attended by one staff member including breaks and lunch time.
OTHER DEPARTMENT DUTIES AS ASSIGNED
1. Attends and participates in staff development training and workshop.
2. Enter data as required in the web-based documentation system.
3. Generate correspondence and/or invoices as required.
