Role & Responsibilities
- Provide administrative support to the Vice President of Residential Services as it directly relates to the Residential Programs.
- Provide leadership duties and coverage in various functions in the absence of the Vice President of Residential Services.
- Perform administrative duties as requested, including monthly reports, data collection, preparations for various events (internal and external to YFT), and creation of documents and reports as requested.
- Assist in personnel-related duties such as vetting and interviewing staff, processing newly hired staff, submitting personal action forms, and approving time cards in YFT’s electronic system. Also, assist in sending reminders to personnel regarding HR due dates (Relias, CPR, background checks, evaluations, etc.).
- Assist with various program operations as requested.
- Act as a lead, assign and prioritize workflow, troubleshoot issues, assist with training and orientation, and provide backup support for the Supervisor as needed.
- Triage all incoming communication from ORR/DSS/DBHDS. Ensure an on-time response and that all requirements and expectations are met regarding a responsible component.
- Participate in appropriate train-the-trainer opportunities and provide training to program staff. Assist with training and orienting staff as needed (e.g., SIR documentation, policy/field guidance updates, etc.).
- May direct workflow as it relates to any and all Residential requirements and deadlines.
- Schedule on the calendar an annual review of each campus-based residential program.
- Maintain monthly required ORR PAS forms for yourself and your supervisor.
- Participate in projects, coordinate workload, take initiative using all available resources, follow through on issues when needed, and apply knowledge as appropriate with little direction from the Supervisor.
- Assist with auditing RTC program files as needed.
- ORR quarterly and annual reporting
- Track program outcome data.
- Ensure the Admissions team maintains, and tracks post-placement reviews.
- Complete the Girls on a Journey Grant report.
- Participate as a treatment team member to keep the Vice President of Residential Services informed of needs, challenges, etc.
- Maintain an understanding of regulatory standards and facilitate quarterly working groups with all components to update the RTC policy and procedure manual with any regulatory changes.
- Complete quarterly variance report for LHRC/Local Human Rights Committee meetings.
- Assist with special projects as needed.
- Attendance at all training mandated by YFT.
- All duties and responsibilities will support meeting the structured program of care outlined in DBHDS and DSS state standards (DBHDS: 12VAC 35-46-800; DSS: 22 VAC 40-151-720).
- Other duties as assigned by the CEO or Vice President of Residential Services.
Qualifications
- A minimum of a high school diploma, but preferably a college degree in social work, psychology, counseling, or communications.
- Demonstrated written and oral communication skills.
- Demonstrated ability to work independently and as a team.
- Administrative and/or counseling experience/exposure preferred.
- Typing skills with at least 50 wpm
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability and willingness to work cooperatively with others and maintain a high level of discretion in handling confidential information.
- Commitment to maintaining confidentiality regarding meetings, documents, or electronic communications, etc.
- Flexibility and willingness to work some early mornings, evenings, and weekend days.
- Experience working with at-risk youth and their families.
