Position Summary: The Human Resources Coordinator provides overall support to and collaborates with the HR team in the delivery of HR initiatives. This position is responsible for coordinating new hire orientation and onboarding, ensuring compliance, and management of electronic and manual personnel files and documentation. This position is a Hybrid remote position located in Chicago, Illinois.


Essential Duties/Responsibilities:


  • Identify opportunities to streamline and enhance new hire onboarding, documentation, and compliance processes by leveraging technology, automation, and system integrations to improve efficiency, accuracy, and the employee experience.
  • Lead and facilitate engaging in-person and virtual new hire orientation sessions to acclimate employees, providing an overview of the agency’s mission, culture, policies, and key resources to ensure a smooth transition into their roles.
  • Ensure completion of new hire onboarding documentation including Processing I-9 verifications using E-Verify verifying I-9s, facilitating the background check process, conducting employment verifications, collecting college transcripts, and ensuring compliance with required trainings, etc.
  • Manage and track annual mandatory compliance in accordance with grant and agency standards, utilizing technology to streamline reporting, automate reminders, and assist audit readiness through proper documentation and record-keeping. support audit readiness.
  • Process, verify, and maintain employee related documentation i.e. training, background check expirations, licenses, payroll etc. (i.e. data entry, data integrity).
  • Responsible for employee data entry and data integrity in HRIS and payroll systems.
  • Serves as primary contact for new hires.
  • Assists the Chief People Officer and HR Directors with various research projects and/or special projects.
  • Other duties as assigned

Minimum Qualifications:


Education/Experience/Training


  • Bachelor’s Degree in Human Resources, Business Administration or other relevant field or 2 years of applicable experience in a business or nonprofit environment.
  • Experience working with and maintaining confidential data.
  • Experience using HRIS and/or digital onboarding tools (e.g., BambooHR, ADP, or similar).
  • Basic knowledge of employment regulations (e.g., I-9 verification, background checks, mandatory trainings) with a willingness to learn.

Skills/Abilities:

  • Experience optimizing workflows and automating processes using HRIS and digital tools (e.g., ADP, SurveyMonkey, BambooHR, Monday.com).
  • Proficiency in HRIS, payroll, and onboarding systems for data entry, tracking, and reporting.
  • Strong data management skills to ensure accuracy, compliance tracking, and audit readiness.
  • Ability to troubleshoot system issues and collaborate with IT, stakeholders or vendors to improve HR technology.
  • Effective communicator with strong interpersonal skills to engage employees, managers, and external partners.
  • Detail-oriented with a proactive approach to problem-solving, prioritization, and meeting deadlines.
  • Tech-savvy, with the ability to evaluate and implement new tools to enhance HR processes.
  • Maintains professionalism, confidentiality, and integrity in sensitive situations.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Occasional local travel required.

  • This is a hybrid role with 2-3 days required in the Chicago office.
  • This job operates in a professional office environment.

Compensation:

$44,000 -$60,000

Pay is determined by your educational background and relevant professional experience.
